About this role
As a Assistant Fleet Personnel Officer at BSM, you will be responsible for providing comprehensive administrative and operational support to ensure the smooth and efficient execution of crew management processes. This role plays a key part in maintaining accurate documentation, facilitating pre-employment screening, and supporting compliance with regulatory and operational requirements, thereby contributing to effective coordination between ship and shore operations.
Key Responsibilities
Provide administrative support to ensure efficient and well-organised department operations, including coordination of briefings, preparation of documentation, and support for operational processes
Prepare and manage candidate documentation, including tests, CVs, and medical certificates, to support pre-employment screening
Maintain accurate and up-to-date records by entering relevant data into personnel and operational databases
Process applications for Flag State endorsements with accuracy and timeliness, including verification and tracking of certification status
Maintain proper filing and record-keeping of all Flag-related applications and documentation
Liaise with external authorities to follow up on application status and ensure timely updates
Support the administration of company policies, including drug and alcohol compliance requirements
Update personnel records in line with applicable agreements and assist in the preparation of related contributions
Support departmental meetings by preparing materials and recording minutes as required
Perform additional administrative duties as assigned to support operational needs
Qualifications & Experience
High School Diploma or equivalent
No prior work experience required
Skills & Competencies
Strong organisational and administrative skills with a high level of attention to detail
Effective communication skills with the ability to coordinate with internal and external stakeholders
Fluency in English, both written and spoken
Proficiency in basic computer applications and data entry systems
Ability to manage multiple tasks and maintain accuracy under deadlines
