About this role
The SharePoint & Microsoft 365 Specialist is responsible for the administration, development, governance, and continuous improvement of Mulilo's SharePoint Online environment and supporting Microsoft 365 collaboration platforms. The role combines technical expertise with business process improvement, ensuring SharePoint evolves into a modern digital workplace that enables efficient collaboration, document management, knowledge sharing, and automation across the organisation. Working closely with business stakeholders, the Head of IT and the wider IT team, this individual will develop new solutions, maintain existing environments, implement governance standards, automate business processes using the Microsoft Power Platform, and provide ongoing user support and training.
Duties and responsibilities
SharePoint Administration & Governance
- Administer and maintain SharePoint Online environments.
- Manage site collections, communication sites, team sites, libraries, lists and permissions.
- Maintain governance standards including information architecture, metadata, retention and lifecycle management.
- Ensure consistent branding, navigation and user experience.
- Perform health reviews, storage monitoring and access audits.
Microsoft 365 & Power Platform
- Develop Power Automate workflows.
- Build Power Apps solutions.
- Integrate SharePoint with Teams, Outlook, Business Central and Microsoft 365 services.
Business Process Improvement
- Analyse business processes and identify automation opportunities.
- Gather requirements and document solution designs.
- Deliver digital solutions that improve efficiency and governance.
User Support & Maintenance
- Provide Tier 2 SharePoint support.
- Troubleshoot permissions, workflows and integrations.
- Maintain documentation and deliver user training.
- Perform ongoing maintenance and enhancements.
Security & Compliance
- Maintain secure permission structures.
- Support retention, compliance and audit activities.
- Ensure POPIA compliance and maintain technical documentation.
Continuous Improvement
- Monitor Microsoft 365 roadmap updates.
- Recommend new technologies and best practices.
- Drive digital workplace innovation.
Confidentiality, Trust & Elevated Access
- Role has elevated administrative access within SharePoint Online.
- Maintain strict confidentiality of company information.
- Comply with POPIA and Mulilo security policies.
- Report any security incidents immediately to the Head of IT.
Required skills and education background.
- Minimum Requirement: National Diploma or bachelor’s degree in IT or related field.
- 3–5 years SharePoint Online administration and development experience.
- Strong Microsoft 365 administration experience.
- Hands-on Power Automate and Power Apps experience.
- Experience with SharePoint governance and document management.
Advantageous
- Microsoft certifications (MS-102, PL-900, PL-100, PL-200 or equivalent).
- Experience with Microsoft Graph API.
- Power BI and Microsoft Purview experience.
- Experience integrating Business Central and SharePoint.
