Job Title: Bookkeeper (Construction / Flooring Business - New Zealand)
Salary Range: up to 1,800 NZD per month
Work Schedule: Monday to Friday 9:00 AM to 6:00 PM NZT (40 hours per week)

ROLE OVERVIEW:
We are looking for a proactive and detail-oriented Virtual Assistant / Bookkeeper to support both the financial and operational sides of the business. This role is critical in keeping our projects running smoothly, maintaining accurate financial records, and ensuring excellent customer communication throughout each job.
DUTIES AND RESPONSIBILITIES:
Bookkeeping & Financial Management
- Maintain and update all financial records in Xero (essential)
- Manage accounts payable and receivable processes
- Monitor and follow up on overdue creditors and payments
- Ensure accuracy and timeliness of all financial data
Administrative & Operational Support
- Manage Gmail inbox and coordinate calendars for installations and site work
- Schedule upcoming flooring installations and track job progress
- Complete monthly administrative tasks and reporting
- Maintain accurate records across internal systems
Sales & Order Coordination
- Process orders and invoices using the company’s internal sales system (training provided)
- Coordinate stock ordering and ensure materials are ready for upcoming installs
- Liaise internally to ensure smooth workflow from sale to installation
Customer Communication
- Conduct customer check-in calls throughout projects
- Follow up on job progress and customer satisfaction
- Update internal systems with call outcomes and notes
- Maintain a professional and friendly customer experience
Requirements

At least 2 years of proven bookkeeping experience using Xero with AU client in the construction, flooring, or trades-based businesses or the likes

Proficiency in the following tools:
- Xero (non-negotiable)
- Google Workspace (GMail, Google Calendar)
- Internal sales and invoicing system (training provided)
- VoIP system for New Zealand phone number access

Excellent communication skills (comfortable on phone with customers)

Familiarity with job scheduling and stock coordination is big advantage
