REPORTS TO: Clinical Program Director
SCHEDULE: Monday – Friday 8:00am-5:00pm
POSITION SUMMARY: The Client Benefits Coordinator ensures clients have timely access to the benefits and insurance coverage needed to support treatment and recovery. This position coordinates enrollment in Medicaid, SNAP, and other public assistance programs, assists uninsured clients in obtaining health coverage, and collaborates with internal teams and external agencies to remove financial barriers to care while ensuring accurate documentation and continuity of benefits.
GENERAL RESPONSIBILITIES:
- Coordinate the enrollment of incoming residential clients in public assistance programs, including SNAP (Supplemental Nutrition Assistance Program), Medicaid, and other eligible benefit programs.
- Screen clients upon admission to determine eligibility for insurance coverage and public assistance benefits.
- Assist clients in completing, submitting, and tracking applications for Medicaid, SNAP, and other applicable state or federal benefit programs.
- Verify insurance coverage and eligibility and facilitate enrollment in health insurance plans when clients are uninsured or underinsured.
- Monitor application statuses and proactively resolve issues or requests for additional documentation to ensure timely approval.
- Educate clients on available benefits, eligibility requirements, renewal deadlines, and how to maintain active coverage.
- Maintain accurate and confidential client benefit records in the electronic health record and other required systems.
- Coordinate with admissions, case management, clinical, and billing teams to ensure clients have appropriate benefit coverage throughout their treatment episode.
- Obtain and organize required documentation to support benefit applications, including identification, income verification, residency, and other eligibility records.
- Maintain up-to-date, accurate reports and other data as required.
- Always maintain confidentiality and program fidelity.
- Attend training sessions as provided.
- Other duties as assigned.
BACKGROUND/EDUCATION:
- High School Education/GED required.
QUALIFICATIONS REQUIREMENTS:
- Knowledge of Medicaid eligibility, SNAP program, and regulations per state of Kentucky.
- Experience working with diverse, multi-cultural and low-income populations.
- Excellent communication, critical thinking, and problem-solving skills.
SKILLS REQUIRED:
- Must have organizational and time management skills.
- Excellent written, oral, and interpersonal communication skills demonstrating clarity and on-target messaging for a variety of audiences.
- Demonstrated ability to work in a fast-paced environment with multi-faceted demands and deadlines.
- Attention to detail, yet flexible with an adaptable personal style.
- Ability to work with minimal supervision using independent judgment for decision making, as well as work cooperatively with other staff, volunteers, donors, and clients.
- Must have a valid driver's license
WORKING CONDITIONS:
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to sit, stand, bend, reach overhead and lift up to 10 pounds; travel outside of the office and/or attend meetings both during and after normal work hours, both at and away from the work site. May involve walking or standing for brief periods of time. Requires about 6 hours of sitting and no more than 2 hours of standing or walking in an 8-hour workday. No significant stooping is required.
Environmental Conditions: The employee will work indoors in a residential setting with central heating and air conditioning. The house is open and well ventilated, with central heating and air conditioning. The person may work outside in heat/cold, wet/humid and dry/arid conditions during times of community activities for clients.
Mental Demands: There are several daily deadlines associated with this position, which may cause significant levels of stress for some individuals. The position must deal with the clients, staff, and insurance representatives daily on a variety of issues.
WORK EXPECTATIONS:
- Minimum of 40 hours per week.
- Must be able to work well with other staff and clients.
- Must be able to travel independently to local Medicaid/SNAP offices.
