The Parliamentary Boutique is a fast-paced high profile retail environment that serves parliamentarians, senior officials and a broad range of visitors that is open 7 days a week, almost year-round, achieving a significant volume of sales to parliamentarians and visitors from across the country and around the world,

The services of the Coordinator are required to plan, coordinate and monitors the activities of the Boutique. Reporting to the Retail Program Manager, the incumbent will ensure the smooth operation of the Boutique, with an emphasis on purchasing and inventory management.

Essential tasks include, but are not limited to:

  • Organize purchasing efforts, which includes, among other things, analysing supply, following up on customer suggestions, requests for quotes, preparing purchase orders, optimizing replenishment efforts, as well as researching new suppliers and making recommendations for new product development.
  • Organize inventory management efforts, including receiving operations, quality control, warehouse organization and security, merchandise transfer, physical inventories, inventory discrepancy adjustments, online inventory system verification, invoice processing, and the preparation of periodic reports.
  • Optimize the use and improvement of the in-person and online management/sales platform, in addition to other work solutions that support the Boutique's operations.
  • Support and assist in financial control efforts, product development, in addition to collaborating in the recruitment, training and supervision of the team composed of students.
  • Actively participate in the development and implementation of client service strategies and effective supervision of the team.

Qualifications

Education:

A post-secondary degree in a field related to the duties of the position OR an acceptable combination of education, training and experience.

Experience:

  • Experience supervising in a customer service or retail environment.
  • Experience preparing financial reports or inventory analysis.
  • Experience building and maintaining strong relationships with diverse stakeholders.

Knowledge:

  • Kowledge of management and operational practice relating to the day-to-day operations of a Boutique (retail sales).
  • Knowledge of inventory management procedures for purchasing physical inventory counts, variance management and data organization in accordance with retail industry practices.
  • Knowledge of human resources management practices in recruitment, selection process, training, scheduling, budget management, work organization and performance evaluation for a retail team.
  • Knowledge of customer service and problem-solving practices.

Asset Criteria:

  • Experience using automated POS systems and other management software (inventories, reports, etc.).
  • Knowledge of procurement (single source, competitive, tendering) and financial management policies, procedures and guidelines.
  • Knowledge of product development practice based on consumer habits, a specific mandate, approved visuals and market trends.

Conditions of Employment:

  • Second language evaluation (bilingual – imperative): CBC/CBC.

This selection process may include a second-language evaluation, a written exam, and an interview. The interview will consist of behavioural, situational and knowledge-based questions. Candidates will be required to pass each stage in order to move to the next stage of the selection process.

Qualified candidates from this selection process may be considered for determinate or indeterminate positions at the Library of Parliament that require similar knowledge and/or competencies.
