The Position
The Events Coordinator in the planning, coordination, and execution of sponsorships, conferences, executive dinners, client events, gifting, and marketing initiatives. This role is responsible for supporting and executing event logistics, invitations, sponsorship deliverables, Salesforce campaign tracking, expense reporting, and day-to-day administrative support. Key Responsibilities
Sponsorships & Conferences
- Support the execution of established Standard Operating Procedures (SOPs) for sponsorships and conferences to ensure consistency and operational excellence.
- Distribute sponsorship and conference calendars to appropriate Managing Directors by area of expertise (e.g., White Collar, Cybersecurity, Investigations)
- Coordinate and create sponsorship deliverables, including ad submissions, logo requests, and promotional materials with external organizations.
- Maintain accurate tracking of sponsorship commitments and related reporting.
- Maintain branding and merchandise stocks required for events.
Events & Executive Dinners
- Support the execution of event SOPs to support seamless planning and execution.
- Research venues and hotels for board meetings and related excursions.
- Support the Events Manager with preparation and onsite execution of large-scale client dinners and events.
Salesforce & Marketing Administration
- Create and track event campaigns within Salesforce.
- Assist with tracking sponsorship activity and marketing initiatives for reporting purposes.
- Support the Events Manager in the execution of the annual client gifting campaign.
- Help develop and maintain the firm’s marketing events and sponsorship calendar.
Expense Tracking & Budget Management
- Track Event Manager/Marketing expenses and prepare monthly expense reports for submission and coding.
- Enter and maintain event and sponsorship expenses within the marketing budget tracker.
Miscellaneous & Administrative Support
- Manage some of the monthly internal events, including menu selection, RSVP management, food ordering coordination, and announcements.
- Support the Events Manager with ad hoc events, special projects, and business development initiatives.
- Provide administrative and onsite support at events as needed.
- Contribute creative ideas to support relationship-building and business development efforts.
- Ad hoc support of the greater Business Development and Marketing team effort, as needed.
Education, Skills, & Experience
- Bachelor’s degree preferred.
- Strong organizational and project coordination skills with exceptional attention to detail.
- Ability to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace, Salesforce, Microsoft Office Suite, and invitation management platforms such as Paperless Post.
- Minimum of one year of experience supporting events, marketing, or executive operations in a professional services environment preferred.
- Professional demeanor with strong stakeholder management and follow-through skills.
