Job Summary

Reporting to the Chief Investment Officer, the Executive Assistant, Investments serves as a trusted administrative and operational partner to the CIO and Investments team. This role manages executive scheduling, meeting coordination, travel, presentations, events, and departmental operations while supporting efficient team execution and collaboration across the organization.

Key Responsibilities

Executive and Team Support

  • Manage calendars, scheduling, and meeting coordination for the CIO and Investments team.
  • Coordinate internal and external meetings, including agendas, materials, logistics, and follow-up actions.
  • Arrange travel, accommodations, itineraries, and expense reporting.
  • Prepare and format presentations, reports, briefing materials, correspondence, and other business documents.
  • Support development of investment committee materials, board presentations, and executive communications.
  • Maintain departmental files, records, and organizational systems.
  • Serve as a key point of contact for internal and external stakeholders.

Department Operations

  • Provide administrative and operational support to the Investments team.
  • Coordinate team meetings, retreats, planning sessions, and departmental activities.
  • Track key deadlines, deliverables, and action items.
  • Support vendor coordination, procurement requests, and administrative processes.
  • Identify opportunities to improve workflows and operational efficiency.

Event Planning and Coordination

  • Plan and coordinate New York-based meetings, conferences, investor events, off-sites, and team gatherings.
  • Manage event logistics, including venue selection, catering, attendee communications, registration, and materials preparation.
  • Coordinate executive visits and stakeholder meetings.
  • Support organization-wide events in partnership with Administration and People & Culture.

Cross-Functional Collaboration

  • Partner with Administration on office operations and event coordination.
  • Collaborate with IT on technology needs, equipment requests, onboarding, and meeting support.
  • Support adoption of productivity and collaboration tools.
  • Partner with People & Culture on onboarding, recruiting coordination, employee engagement activities, and training logistics.
  • Support special projects and cross-functional initiatives as needed.

Required Skills and Abilities

  • Bachelor's degree and four (4) or more years of professional experience, or an equivalent combination of education and directly related experience.
  • Experience providing executive-level administrative support.
  • Advanced proficiency with Microsoft Office Suite, including PowerPoint, Excel, Outlook, and Word.
  • Strong technology skills and ability to quickly learn new systems and software.
  • Experience preparing professional presentations, reports, and executive communications.
  • Excellent organizational, communication, and project coordination skills.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Sound judgment, discretion, and ability to handle confidential information.

Preferred

  • Experience supporting executives in investment, finance, nonprofit, or mission-driven organizations.
  • Experience planning meetings, conferences, and executive events.
  • Familiarity with collaboration and project management platforms such as Asana, Smartsheet, SharePoint, Teams, Zoom, or Salesforce.
  • Experience supporting senior leadership teams and board-related activities.

Compensation and Benefits

  • The salary range for this role is $117,715.00 - $132,549.00. Final compensation will be determined based on experience, skills, and overall qualifications.
  • This role is eligible for bonus or incentive compensation.
  • CGC offers a competitive benefits package, including health, dental, and vision insurance, retirement benefits, paid time off, professional development opportunities, and a flexible hybrid work environment.
