Job responsibilities:

  • Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.

  • Prepare and edit correspondence, reports, presentations, and other documents as required.

  • Act as a liaison between executives and internal/external stakeholders, ensuring effective communication and follow-up.

  • Manage confidential information with discretion and professionalism.

  • Coordinate and organize executive-level meetings, including agenda preparation, minute-taking, and follow-up on action items.

  • Assist in project management tasks, including tracking deadlines, monitoring progress, and ensuring deliverables are met.

  • Conduct research and compile data to support decision-making processes.

  • Handle expense reporting and budget tracking for executive-level activities.

  • Support the planning and execution of company events and initiatives.

Job requirements:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.

  • Minimum of 3-5 years of experience as an Executive Assistant, preferably in the pharmaceutical or healthcare industry.

  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.

  • Strong written and verbal communication skills in both English and Mandarin.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • High level of professionalism, discretion, and confidentiality.

  • Strong problem-solving skills and attention to detail.

  • Experience in coordinating international travel and managing complex schedules.
