Position Overview:
The National Center on Sexual Exploitation (NCOSE) is seeking an Executive Assistant passionate about defending human dignity and changing the world for the better.
The Executive Assistant plays a pivotal role in ensuring the seamless operation of the President’s office by managing various high-priority tasks and responsibilities. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple projects simultaneously. Key responsibilities include complex calendar management, ad hoc project coordination, tracking key deliverables, coordinating travel and expenses, and organizing team activities and events, such as all-staff meetings and employee engagement initiatives.
Key Responsibilities:
- Manage scheduling, calendar maintenance, travel arrangements, expense reporting, file/document organization, mail distribution, and meeting coordination, including arranging food and beverages.
- Process and track invoices using Bill.com.
- Prepare materials for board meetings and take detailed notes during meetings.
- Serve as a communication liaison between the President’s office and internal departments, ensuring smooth and efficient interactions.
- Proactively prioritize and resolve conflicting needs, ensuring timely and successful completion of projects, often under tight deadlines.
- Collaborate with the HR team on honorariums, contracts, office meetings, and visitor coordination.
- Partner with the Development team to support fundraising events.
- Oversee and assist with managing the main phone line, front desk operations, guest scheduling, and welcoming visitors.
- Act as a "gatekeeper," facilitating effective access to the President and creating win-win solutions.
- Learn and manage IT systems to host meetings in large conference rooms.

Qualifications & Skills:
This role requires a proactive, resourceful, and adaptable individual who thrives in a fast-paced environment and is committed to supporting the President and the organization’s broader goals. Candidate must have:
- Associates degree required, bachelor’s degree preferred.
- 4+ years of administrative experience.
- Excels in a fast-paced environment.
- Excellent computer skills; highly proficient in Microsoft Suite and experienced with various online platforms.
- Able to use basic project management and data storing software (Asana, Egnyte) and basic understanding of AI.
- Strong emotional intelligence with the ability to navigate complex interpersonal dynamics.
- Highly collaborative, organized, and detail oriented.
- Exceptional written and verbal communication skills.
- Demonstrated ability to make sound decisions, while maintaining credibility and trust with senior leadership.
- Proficient in project management with a focus on delivering results.
- Skilled at prioritizing conflicting demands, taking initiative, and ensuring projects are completed successfully from start to finish.
Working Environment/Physical Requirements:
- This is a hybrid position in the DC Office. Individuals will be required to sit for long periods, stand, or walk as needed. Also, light lifting - up to 15 pounds.
- For remote positions, the individual must work in a quiet space - no background noise - and have the camera turned on during all calls and meetings.
- Local travel to meetings, including walking or taking an uber or cab. Occasional out of town travel may be required.
Compensation & Benefits:
Salary is commensurate with experience with a range of $62,000 – $70,000. Benefits include generous medical, dental, vision insurance, FSA, 401K, paid time off, and EAP.
