About What You’ll Work On
What You’ll Do
Assist with managing scheduling phone lines, emails, chats, and daily call-outs
Support session cancellations, make-ups, sub coverage, and break coverage
Coordinate with staff and families regarding schedule updates
Maintain accurate records in CentralReach (sessions, updates, corrections)
Support morning cancellation process and coverage coordination
Generate reports, trackers, and documents (Excel, Canva, etc.)
Assist with timecard follow-ups
Provide high-level customer service to families and staff
Front Desk & Administrative Support (Blended Responsibilities):
Greet guests and families as needed and provide front desk coverage during peak times or call-outs
Maintain front lobby organization and ensure a welcoming environment
Answer phones and triage inquiries appropriately (scheduling vs. intake vs. general questions)
Monitor and respond to shared inboxes, ensuring timely follow-up
Verify incoming paperwork and ensure completion for scheduling readiness
Support supply tracking and restocking as needed
Assist with planning and setup of clinic events when applicable
Cross-Functional Support:
Partner with Scheduling, Intake, Authorizations, and Clinic teams to ensure continuity of care
Step in to support Level 1 responsibilities when coverage is needed
Begin taking ownership of small scheduling projects or center-specific workflows
Qualifications:
Availability: Monday–Friday, 8:00 AM – 5:00 PM (on-site)
1–2 years administrative or scheduling experience (ABA preferred)
Ability to "think on your feet" and problem-solve on the go
High level of planning and organizational skills; high energy; excellence driven; strong communication skills; team player
Familiarity with G Suite a plus
Ability to maintain composure in high stress situations
Excellent customer-oriented attitude
Prioritize and handle multiple tasks simultaneously
Experience with scheduling systems (CentralReach a plus)
Comfortable balancing both front desk and scheduling responsibilities
