The Operations Support Coordinator provides administrative and operational support to multiple departments within our Plymouth, MA location, including Irrigation, Account Management, and Wholesale Nursery Operations. This role is responsible for assisting with scheduling, customer communication, purchase receipt entry, invoicing support, recordkeeping, and general operational coordination.


This is a full-time seasonal position designed to support peak operational periods, with opportunities for continued employment or advancement based on performance and business needs.


This position serves as a key support resource for field and production teams, helping ensure administrative processes are completed accurately and efficiently while maintaining strong communication between operations and the office.



The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Strong communication, customer service, and data entry skills are essential.

This position reports to the Office Manager and works closely with the Irrigation Manager, Account Managers, Nursery Team, and Administrative Team to support daily operations.

OBJECTIVES



  • Assist with scheduling service calls, maintenance visits, installations, and project work for the Irrigation Department
  • Coordinate customer appointments and communicate scheduling updates
  • Conduct customer follow-up regarding completed work, service requests, proposals, and invoicing matters
  • Enter purchase receipts and supporting documentation accurately and timely
  • Assist with Time & Material (T&M) invoicing preparation and processing
  • Support Account Managers with administrative and clerical tasks
  • Maintain organized project files, job documentation, customer records, and operational records
  • Provide administrative support to Wholesale Nursery operations as needed
  • Enter and update information within company systems and databases
  • Generate reports and assist with operational tracking and recordkeeping
  • Collaborate with managers and team members to support daily operations
  • Assist with special projects and process improvement initiatives
  • Handle confidential information with professionalism and discretion
  • Utilize business systems including Aspire, HubSpot, Google Workspace, and other company software (experience not required but a plus)

EDUCATION AND EXPERIENCE



  • Prior administrative office experience required
  • Experience with scheduling, customer service, invoicing, project support, or operations coordination preferred
  • Strong customer service and communication skills
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail, Calendar)
  • Strong computer and data entry skills
  • Experience with Aspire and/or HubSpot is a plus
  • High school diploma or equivalent required; additional training a plus



PHYSICAL REQUIREMENTS



This is primarily an office-based role requiring extended periods of sitting and computer use. Occasional standing, walking, bending, or lifting (up to 25 lbs) may be required for office tasks such as filing. Strong vision, hearing, and communication skills are necessary for phone, in-person, and virtual interactions.
