We’re looking for a People & Culture Coordinator to play a key role in delivering an exceptional employee experience by coordinating and administering People & Culture programs, processes, and operations throughout the employee lifecycle. Reporting to the People & Culture Director, you will work closely with HR Business Partners, the Talent Acquisition team, Payroll, and leaders across the Firm to ensure seamless People & Culture operations, support continuous improvement, and help create an engaging and positive employee experience.


You will be Accountable for:

  • Serve as the first point of contact for employee inquiries related to People & Culture programs, policies, and processes through the People & Culture ticketing system.
  • Coordinate the employee lifecycle from onboarding through offboarding, ensuring a seamless employee experience.
  • Coordinate onboarding, employee changes, promotions, transfers, leaves of absence, and offboarding, including exit interviews.
  • Facilitate 30, 60 and 90 day employee check-ins and probationary reviews to support successful employee integration.
  • Prepare employment documentation, including compensation letters, promotion letters, bonus letters, leave documentation, termination documentation, and other employee correspondence.
  • Administer employee benefits and People & Culture programs in partnership with Payroll and external providers.
  • Coordinate leave of absence administration while providing guidance and support to employees throughout the process.
  • Coordinate the annual performance review and promotion process in collaboration with the People & Culture Advisor.
  • Support employee recognition programs and service milestone celebrations.
  • Ensure employee data changes are accurately communicated to Payroll in a timely manner.
  • Maintain exceptional service standards while continuously improving People Operations processes.
  • Standardize documentation, workflows, and operating procedures.
  • Maintain the integrity, accuracy, and confidentiality of employee information within the HRIS.
  • Support HRIS enhancements, workflow automation, system updates, and process improvements.
  • Prepare monthly People & Culture dashboards, reports, and key performance indicators.
  • Analyze workforce metrics, including headcount, turnover, retention, recruitment, and employee lifecycle data to support informed decision making.
  • Monitor changes to Quebec and Ontario employment legislation and HR best practices, recommending updates to policies and programs to ensure compliance and operational excellence.
  • Coordinate compliance activities, including Health & Safety, First Aid, mandatory training, employment documentation, and francization requirements where applicable.
  • Support audits, governance initiatives, documentation standards, and compliance reporting.
  • Participate in projects that enhance employee experience and operational effectiveness.
  • Identify opportunities to streamline processes, automate workflows, and improve service delivery.
  • Develop and maintain process documentation, templates, and standard operating procedures.
  • Support the implementation of new technologies, policies, and People & Culture initiatives.


The Qualifications that count:

  • College Diploma, Attestation of College Studies, Diploma of Vocational Studies, or University Certificate in Administration, Human Resources, or a related discipline.
  • 3 to 5 years of experience in Human Resources coordination or administration.
  • Experience supporting the full employee lifecycle.
  • Experience working with an HRIS. Experience with Rippling is considered an asset.
  • Experience administering employee benefits and HR documentation.
  • Knowledge of Quebec and Ontario employment legislation and HR best practices.
  • Experience in a professional services environment is considered an asset.
  • Excellent verbal and written communication skills in both English and French (English is required to communicate with our Ottawa office and Ontario employees).
  • Strong proficiency with Microsoft Office and AI tools and technology.
  • Excellent organizational and planning skills with the ability to manage multiple priorities.
  • Strong customer service orientation with exceptional attention to detail.
  • High level of professionalism, discretion, and confidentiality.
  • Strong collaboration, adaptability, communication, and problem solving skills.
  • Demonstrated accountability and a commitment to continuous improvement.

Vous serez responsable de :

  • Agir comme premier point de contact pour les demandes des employés concernant les politiques, programmes et processus Personnes et culture par l'entremise du système de billetterie.
  • Coordonner l'ensemble du cycle de vie des employés, de l'embauche jusqu'au départ.
  • Organiser les activités d'accueil et d'intégration, les changements de poste, les promotions, les mutations, les congés et les départs, y compris les entrevues de départ.
  • Assurer les suivis d'intégration des nouveaux employés (30, 60 et 90 jours ainsi que les périodes de probation).
  • Préparer la documentation liée à l'emploi, notamment les lettres de rémunération, de promotion, de primes, de congés, de cessation d'emploi et toute autre correspondance RH.
  • Administrer les avantages sociaux et les différents programmes Personnes et culture en collaboration avec la paie et les fournisseurs externes.
  • Gérer l'administration des congés et accompagner les employés dans les différentes étapes du processus.
  • Coordonner le processus annuel d'évaluation du rendement et des promotions en collaboration avec le conseiller Personnes et culture.
  • Soutenir les programmes de reconnaissance des employés et les célébrations des anniversaires de service.
  • Veiller à ce que les changements aux dossiers des employés soient communiqués avec exactitude et dans les délais à l'équipe de la paie.
  • Maintenir des normes élevées de service tout en recherchant continuellement des occasions d'améliorer les processus opérationnels.
  • Standardiser la documentation, les procédures et les méthodes de travail.
  • Assurer l'intégrité, l'exactitude et la confidentialité des données des employés dans le système d'information RH.
  • Participer à l'amélioration du système RH, à l'automatisation des processus et aux mises à jour technologiques.
  • Préparer les tableaux de bord mensuels, les rapports et les indicateurs de performance de l'équipe Personnes et culture.
  • Collaborer à l'analyse des données liées aux effectifs, au recrutement, à la rétention, au roulement et au cycle de vie des employés afin d'appuyer la prise de décision.
  • Surveiller les changements aux lois du travail du Québec et de l'Ontario ainsi que les meilleures pratiques RH afin de recommander des améliorations aux politiques et programmes.
  • Coordonner les activités liées à la conformité, notamment en matière de santé et sécurité, premiers soins, formations obligatoires, documentation d'emploi et francisation, lorsque requis.
