This is a high-trust, high-access role for someone who thrives in fast-moving environments and takes ownership without being micromanaged. You'll be the CEO's right hand — keeping the inbox and calendar under control, maintaining HubSpot, tracking deals and trial accounts through the pipeline, and following up with clients post-demo to drive conversions. You'll also serve as the first point of contact for inbound support and accounts in trial or onboarding.

Key Responsibilities
Executive & Admin Support
- Manage CEO inbox and calendar — flag priorities, draft responses, schedule meetings and demos
- Capture action items in real time; maintain SOPs and internal documentation
CRM & Pipeline (HubSpot)
- Log contacts, create deals, and keep pipeline current
- Monitor trial accounts and follow up to drive conversion to paid
Client Communication & Support
- Handle inbound support inquiries
- Follow up post-demo and post-sales call; support trial and onboarding accounts
Operations
- Coordinate across CEO, co-founder, and dev team
- Light project management and ad hoc tasks as the business evolves
Tools: HubSpot, Google Workspace, Slack, Google Voice, Zapier, Claude AI, Meta/LinkedIn
Requirements
- Experience: 3–5 years of verifiable experience as an Executive Assistant, Business Support, or Administrative professional.
- Stability: A direct and progressive work history over the last 3 years with no more than 3 different employers.
- English Proficiency: Clear, professional spoken and written English (C1-C2 level) for internal and vendor communication.
- Tech Savvy: Proficient in Google Workspace and highly comfortable learning new AI tools for automation.
- CRM: HubSpot experience — required.
- Organizational Skills: Exceptional attention to detail and the ability to manage a high transactional load independently.
- Schedule: Full-time availability aligned with U.S. business hours.
