The Role:
We’re looking for a highly organised and proactive Programme Scheduling Support to help coordinate teaching delivery across our Reading, Southampton and virtual programmes.
This is a fast-paced, central role where you’ll manage tutor timetables, coordinate freelancers, and ensure everything runs smoothly behind the scenes. You’ll work closely with tutors, programme leads and operations teams to keep schedules accurate, efficient and responsive to change.
Responsibilities:
Scheduling & Planning
- Build and maintain teaching timetables across multiple programmes
- Allocate tutors based on availability, experience and programme needs
- Manage timetable updates, including last-minute changes and cover
- Track tutor availability, holidays and capacity
- Identify scheduling risks and resolve or escalate where needed
- Communicate schedules clearly to tutors and stakeholders
Freelancer & Tutor Coordination
- Book and schedule freelance tutors, ensuring all sessions are fully resourced
- Act as the main point of contact for scheduling and logistical queries
- Provide key delivery information (class sizes, schedules, expectations)
- Support with practical arrangements (e.g. travel, parking, accommodation guidance)
- Share teaching materials and ensure platform access in advance
- Set up and coordinate virtual delivery (e.g. Zoom sessions)
- Manage freelancer admin, including submitting invoices to finance
- Support onboarding of new tutors
Assessment & Marking
- Allocate and track marking across programmes
- Set up marking groups on FI Learn and assign markers
- Coordinate with internal and external markers
- Monitor submissions and flag any issues early
Collaboration
- Work closely with faculty managers and programme teams
- Help improve scheduling processes and systems
- Support smooth, high-quality programme deliver
About You:
- Strong organisation and attention to detail
- Able to manage multiple priorities in a busy environment
- Confident communicator with a proactive approach
- Solutions-focused and adaptable
- Experience in scheduling, timetabling or education operations (desirable)
- Experience working with freelancers or external stakeholders (desireable)
