We are seeking a proactive and detail-oriented Project Assistant to support the Major Equipment (MEQ) team within the Power Group. In this role, you will provide essential administrative and coordination support across equipment tracking, documentation, and team operations; helping ensure projects run efficiently from planning through execution. You will work closely with engineers, project managers, and clients to maintain accurate records, coordinate meetings and communications, and contribute to a highly organized project environment. Your ability to manage multiple priorities, maintain data accuracy, and support team collaboration will directly contribute to the success of critical infrastructure projects that power communities nationwide.

Key Responsibilities
- Maintain accurate and up-to-date project, equipment, and procurement data within internal systems such as SharePoint and Coupa; ensure consistency and reliability of information across MEQ and Power team workflows
- Organize and manage electronic and physical project documentation, ensuring efficient tracking and retrieval of equipment records, vendor information, and project files
- Coordinate and support MEQ and Power team meetings by scheduling, preparing agendas, capturing action items, and documenting key decisions to keep projects aligned and progressing
- Assist in the development and distribution of project-related reports, status updates, presentations, and internal communications to support team coordination and client deliverables
- Support procurement and equipment tracking efforts by coordinating documentation, maintaining vendor communications, and assisting with purchase-related processes across project phases
- Collaborate with engineers, project managers, and vendors to ensure timely updates, accurate documentation, and clear communication related to major equipment and project milestones
- Assist with onboarding new team members by coordinating access, training materials, and team resources to ensure a smooth integration into MEQ and Power workflows
- Provide general administrative and operational support, including calendar coordination, email follow-ups, and internal process management, to maintain efficient day-to-day team operations
Skills, Knowledge & Expertise
- High school diploma or equivalent required; additional education or coursework in business, administration, or a related field preferred
- Minimum of two years of administrative, project coordination, or support experience; preferably within engineering, construction, or technical environments
- Proficiency in Microsoft Office and Windows-based applications, with the ability to manage spreadsheets, documentation, and communication tools effectively
- Strong organizational skills with a high attention to detail, particularly in maintaining accurate project, equipment, and procurement-related data
- Ability to collaborate effectively with cross-functional teams, including engineers, project managers, and external vendors
- Clear and professional communication skills, with the ability to support internal coordination and external vendor interactions
- Demonstrated integrity, accountability, and the ability to handle sensitive or project-related information with discretion
- Proactive, approachable, and team-oriented mindset with a strong commitment to supporting project success and operational efficiency
- Ability to prioritize tasks, manage multiple responsibilities, and work independently within a fast-paced, deadline-driven environment
