Job Overview

The Project Executive will be responsible for the operations of all construction, project management and project administration within the New York City business unit (the “BU”). They will manage, mentor, and lead project staff in the BU such as project managers, superintendents, and assistant project managers. The Project Executive will support and participate in the development and implementation of Holt policies and procedures to achieve BU and company goals. This position reports to the Director of Operations (the “DO”). The Project Executive shall meet regularly with the DO (as well as other managers such as the CFO, COO, Managing Director, Director of Business Development & Marketing, Director of Human Resources, Director of Safety, or their designees collectively the “Management Team”) and keep the DO informed about staffing, project performance, BU profitability, growth, strategy, issues, employee retention, and client retention. The Project Executive shall draft, effectuate, manage, and be responsible for the business plan for the BU.


Responsibilities


  • Responsible for the profit and loss of the BU and delivering the yearly growth of the BU
  • Drive client development, retention, satisfaction, repeat and new business.
  • Prepare and assemble supporting documentation of monthly executive summaries of the BU. Submit the executive summaries to the DO.
  • Regularly meet (at least once per month) with the DO to review BU performance, including measuring monthly performance with the annual BU budget, progression of projects, staffing, project issues, and project profitability.
  • Responsible for timely reporting to the DO and Management Team of potential and actual legal issues impacting the BU.
  • Perform regular (e.g. weekly) project reviews with each project team and the General Superintendent of the BU. Such reviews to include:
    • Project schedule, safety, administration, and profitability
    • Material, equipment, vendor, and subcontractor procurement
    • Quality control and assurance of project work


  • Management and evaluation of project stakeholder relationships such as clients, subcontractors, and design team(s)
  • Responsible for timely and accurately reporting financials, such as monthly projections, cost reports, project requisitions, change orders, for all projects in the BU. Assemble and provide documents as directed by the DO for operations department meetings.
  • Manage the overhead schedule within the BU, including outlining the current and projected manpower requirements.
  • Ensure the accurate completion and timely submission of the monthly Owner Application for Payment’s by each project within the BU.
  • Review and approve the following project administration documents (in consultation with the DO as required):
    o General Conditions and project approach of each project estimate prior to submission to the Owner

o Project schedule review prior to issuance to the Owner and Subcontractors

o Project Budget as prepared by estimating prior to issuance to accounting
Subcontracts and Purchase Orders

o Contractual notices to Owners and Subcontractors

o Change Order Requests prior to submission to the Owner

o Subcontractor AIA Change Orders and associated budget revisions

  • Coordinate project mobilization, demobilization and equipment needs with accounting
    Review all Holt material and equipment purchases and supporting documentation, such as tickets, within the BU.
  • Stay informed of each project within the BU by regularly walking projects, meeting with the project teams, attending project meetings, reviewing project data (e.g. schedule updates, cost reports, forecasts, requisitions, monthly reports, cash flows, change events, pending change orders).
  • Responsible for escalating significant issues to the Management Team before issues become disputes or negatively impact clients, projects, or project teams.


Leadership

  • Mentor and be a resource for all BU personnel.
  • Work with the Management Team to develop key performance indicators and metrics of BU employees.
  • Regularly review the performance of BU employees, including leading the formal (mid-year and year-end) reviews and make recommendations to the DO regarding staffing, promotions, developmental needs, position evaluations, and compensation.
  • Review and approve all hourly time sheets prior to input.
  • Analyze available and qualified manpower and make specific project assignments for all salaried and hourly construction employees in the BU. Make recommendations to the DO for the hiring of additional manpower.
  • Work with Human Resources and the DO for recruiting within the BU including job description development, advertisements, attending interviews, and making timely and decisive hiring recommendations.
  • Responsible for the Holt employee review process including mid-year and year-end reviews of staff within the BU.
  • Provide required coverage for Project Managers and Superintendents while they are on vacation or otherwise.
  • Shape the BU personnel to adopt and adhere to a safety-centric culture. Ensure that BU personnel participate in safety training. Require culture of safety at all projects within the BU.
  • Develop a succession plan with the DO and Management Team for key positions within the BU.


Collaboration

  • Meaningfully contribute to the development, improvements to, and implementation of Holt policies and procedures.
  • Drive a collaborative culture within the BU including personnel working with other departments.
  • Champion the BU and Holt strategy.
  • Support the project teams with early detection and resolution of project issues. Serve as a liaison between the projects and DO for project issues.
  • Actively participate in the RFP process for all projects within the BU.


Requirements

  • BS degree in construction management, architecture, engineering, business, or equivalent education.
  • Minimum of fifteen years of progressive construction experience.
  • Advanced knowledge of construction management processes, means and methods
  • Expert knowledge of building products, construction details and relevant rules, regulations and quality standards.
  • Understanding of all facets of the construction process.
  • Familiarity with construction management software platforms.
  • Capable of developing and executing the BU business plan including assembling BU budget, forecasting, resource planning and allocation.
  • Comfortable being accountable for the performance of the BU both from a project delivery and financial aspect.
  • Ability to plan and see the “big picture”.
  • Competent in conflict and crisis management.
  • Demonstrated leadership management skills.
  • Excellent time and project management skills.
