Role Summary

We’re looking for an RFP Writer to join our team. In this role, you’ll support the completion of RFPs, RFIs, vendor assessments, security questionnaires, due diligence requests, and other prospect or customer-facing submissions. You’ll help draft and edit responses, coordinate with internal teams to gather information, maintain reusable response content, and ensure final submissions are clear, accurate, and professional.


This is a great opportunity for someone who is highly organized, detail-oriented, and comfortable working across teams. The ideal candidate is a strong writer who can take complex business, product, security, and technical information and turn it into clear, customer-facing responses.


What You'll Do

RFP and Questionnaire Support

  • Support the completion of RFPs, RFIs, vendor assessments, security questionnaires, due diligence requests, and related submissions by reviewing requirements, tracking timelines, and helping ensure all required materials are completed.
  • Coordinate with internal subject matter experts to gatheraccurateanswers, supporting documents, and approvals while helping keep requests moving toward completion.
  • Maintain visibility into active, completed, and upcoming requests through trackers, shared documentation,Loopio, or other internal systems.

Writing, Editing, and Response Development

  • Draft, edit, and refineresponsesso they are clear,accurate, professional, and aligned with Case IQ's messaging and customer-facing standards.
  • Adapt approved knowledge base content to fit specific prospect or customer questions whilemaintainingconsistency in tone, terminology, and accuracy.
  • Review response materials for grammar, formatting, completeness, and overall quality before final review or submission.

Cross-Functional Collaboration

  • Work closely with Sales, Customer Success, Product, Security, Legal, Finance, Operations, Implementation, Support, and other internal teams to collect required information.
  • Partner with Sales and Account teams to understand prospect or customer context and ensure responses are tailored whereappropriate.
  • Route legal, security, privacy, compliance, pricing, or contractual questions to theappropriate internalreviewers.

Knowledge Base and Content Maintenance

  • HelpmaintainCase IQ's RFP response knowledgebaseinLoopio, ensuring reusable answers, templates, and supporting materials are organized, current, and easy to find.
  • Update standard responses, company information, product descriptions, security language, compliance content, and other reusable materials inLoopioas needed.
  • Identifyoutdated, inconsistent, or incomplete content and work with subject matter experts to refresh it.


What Success Looks Like

  • 30Days: Completeonboarding, role-specific training,Loopioorientation, andrequiredsecurity/compliance expectations. Build context on Case IQ products, customers, messaging, RFPprocess, and internal review paths.
  • 60 Days: Begin supporting active RFP/RFI/questionnaire submissions,draftingand editing responses, coordinating SME inputs, andmaintainingtrackers orLoopiorecords with manager guidance.
  • 90 Days: Own defined portions of RFP, RFI, vendor assessment, or security questionnaire workstreams with increasing independence, including response drafting, follow-up coordination, and quality review.
  • 6 Months:Contribute to improved submission readiness, cleaner reusable content, stronger cross-functional response workflows, and better visibility into active and upcoming requests.
  • 1 Year: Operateas a trusted RFP and proposal support partner who helps Case IQ deliver clear,accurate,timely, and customer-ready submissions.


Who You Are

  • Bachelor’s degree in Business, Communications, English, Marketing, or a related field, or equivalent professional experience.
  • 2+ years of experience in proposal writing, RFP support, business writing, sales support, marketing, communications, customer operations, or a similar role.
  • Strong writing, editing, proofreading, and document formatting skills, with excellent attention to detail.
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities.
  • Comfortable coordinating with internal teams, following up on outstanding information, and working collaboratively across departments.
  • Ability to understand business, product, technical, security, and compliance information and turn it into clear written responses.
  • Experience with RFPs, RFIs, vendor assessments, security questionnaires, SaaS, compliance, investigations, risk management, SOC 2, ISO 27001, GDPR, or accessibility questionnaires is considered an asset.
  • Experience usingLoopioor similar RFP response management software is considered an asset.
