About this role

Assist Technical Department staff in business matters, so as to ensure smooth daily operation.

Roles and Responsibilities

Provide secretarial and administrative support to Technical Department

  • Prepare Reports (Inspection reports, Travelling Expenses Reports, Entertainment Claims)
  • Assist in Fleet communication (Letter, Fax, Forms)
  • Check Ship messages daily
  • Assist in any task as assigned

Data management

  • E-file ships month end reports and documents
  • Update Ships certificates

Manage mailing

  • Arrange courier service for Technical officer
  • Arrange packing
  • Prepare necessary documents (Proforma Invoice, Mail list, Airway Bill)
  • Communicate with logistic company
  • Make Import / Export declaration

Business travel arrangement

  • Apply Visa and prepare necessary documents
  • Book air ticket and hotel
  • Prepare travel itinerary and trip expenses report

Preparation of meeting

  • Arrange meetings and schedule appointment for owners, suppliers, crews
  • Prepare presentation materials
  • Greet guest

Handle incoming calls

Promote and comply with the Company’s “Safety and Environmental Policy” and any other duties as may be reasonably required by the Management of the company.

Requirements

Education: GCSE or above of related discipline

Experience: 1-2 years technical secretarial experience

Specific Business Knowledge:

  • Good responsible, well organised, good knowledge of Microsoft Office
  • Experience of shipping industry (desirable)
