We are looking for a detail-oriented Tenders Management Specialist to join our Group Commercial Strategy team at our offices located in Piraeus.
As a Tenders Management Specialist, you will be the central point of coordination throughout the entire tender process, from the initial invitation to participate to the successful submission of each proposal. Working closely with cross-functional teams, you will manage multiple tenders simultaneously, ensuring every submission is complete, accurate, submitted on time, and fully compliant with customer requirements. Your ability to coordinate stakeholders, manage deadlines, and maintain high-quality standards will play a key role in supporting the company's business growth and success.
Responsibilities
- Monitor and respond promptly to invitations to participate in tender opportunities, ensuring full compliance with tender requirements.
- Review and analyze the requirements of each tender, identifying Service Line-specific requirements, milestones, and submission deadlines.
- Coordinate all internal stakeholders according to the scope of each opportunity to collect the required documentation, technical information, and commercial proposals.
- Liaise with tender management platforms and resolve any technical or procedural issues that may arise throughout the submission process.
- Prepare reports and analyses on tender activities across the Group's Service Lines, including service requirements such as warehousing and transportation conditions, transport lanes, special customer requirements, and other operational specifications.
- Maintain a well-organized repository of tender documentation and records.
- Recommend improvements to tender management processes, documentation, and reporting practices
Requirements
- Strong understanding of the Group's organization, operations, and service portfolio.
- Advanced business writing and verbal communication skills in both Greek and English.
- Strong communication and coordination skills, with the ability to collaborate effectively across multiple departments in Greece and internationally.
- Proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Excellent time management and prioritization skills, with the ability to manage multiple deadlines in a fast-paced environment where timely submissions are critical.
To qualify for the role, you must have
- Vocational education diploma, or a degree in any field.
- Strong understanding of the Group's organization, operations, and service portfolio.
- Minimum of 1 year of experience in a similar role.
