What You'll Own
Scheduling & Program Administration
- Build and maintain daily and recurring schedules for ABA clients and staff (RBTs/technicians), adjusting in real time for cancellations and changes
- Match client availability and authorized insurance hours (typically 2–4 hour sessions, up to 5 days/week) with RBT schedules
- Confirm sessions with families before they go on an RBT's calendar, then hand off confirmed schedules so RBTs can coordinate session details with their BCBA
- Keep individual RBT calendars and center-wide schedules accurate and current
- Onboard new clients on non-clinical policies and expectations, and clearly communicate ABA program policies (especially cancellations)
- Serve as the first point of contact for technicians and therapists on day-to-day scheduling and staffing issues
- Maintain accurate, up-to-date patient and staff records across all program tracking systems
Billing Coordination
- Be the primary point of contact for patients and families with billing questions, concerns, or complaints — resolving what you can directly and looping in insurance billers when needed
- Coordinate with third-party insurance billers to keep patient billing information accurate and disputes moving toward resolution
- Make outbound calls to collect on outstanding balances, take payments over the phone, and answer basic payment questions
- Help troubleshoot recurring billing issues and flag patterns to leadership
Collaboration
- Work closely with the ABA administrative team to solve problems as they come up
- Attend required ABA admin team meetings
- Take on other tasks that reasonably support the program's goals
What You Bring
- 2+ years scheduling staff and/or clients/customers in a fast-paced environment
- Experience handling billing questions, collections, or customer account issues — healthcare billing experience is a strong plus
- Comfort being a calm, clear communicator when a patient is frustrated about a bill
- Customer or patient service background
- Healthcare industry experience (including EHR use) preferred but not required
- High school diploma required; Associate's or Bachelor's in a related field preferred
- Full-time availability, Monday–Friday, in-office
