Position Description:

Under the guidance of the Senior Leadership Team, the Accounts Administrator will manage the basic accounting functions of the school, in keeping with the ethos and mission of Island Primary; creating a shared vision and strategic plan which engages, inspires, and motivates the school community to achieve success.

Key Note: This role has extended coverage to apply to both Island Primary and Island Montessori. The employee shall be employed by Island Primary, but the accounting duties listed below will also be applicable to Island Montessori. The employee will be based at Island Primary and is not expected to by physically present at Island Montessori.

1. Administrative Duties and Responsibilities:


Managing the basic accounting functions of the school with respect to bookkeeping to include petty cash management, setting up new students in QuickBooks and generating student invoices generation for tuition, afterschool clubs, uniforms, registrations and ad hoc invoices and managing the school’s accounts receivables. Ensuring all vendor invoices are recorded to the school’s accounting software with correct account allocations and relevant back up documentation is included, and ensuring all payables are settled in a timely manner to vendors. Setting up bank payments for approval and ensuring bank account records are kept up to date and entries are posted in a timely manner, no later than 1 week after bank entry and assisting the school’s accountant with ad hoc entries or reporting as required.

  • Managing the school’s accounts@islandprimary.org email account in addition to the post holders personal school email account and ensuring queries to email accounts are responded to in a timely manner and no more than 48 hours after receipt of emails.
  • The Accounts Administrator will be the key point of contact with families and vendors regarding accounts.

2. Other Responsibilities:

  • Management of the school’s uniform inventory, ensuring purchased items are invoiced, staff items are recorded, annual inventory count is completed, and ordering stock as required.
  • Assist with annual resourcing orders, ensuring orders are completed with vendors, tracking shipments, arranging for local clearance and delivery.
  • In collaboration with other members of the SLT, attend all required school meetings inclusive of those held outside of the regular school day when requested.
  • Always maintain strict confidentiality with regards to the sharing of student information and with school matters
  • Assist with various duties as determined from time to time to support the needs of the school to include reception cover as needed at Island Primary.

3. Safeguarding Responsibilities:

  • Attend and document all safeguarding meetings and training required by the school to ensure theoretical and procedural knowledge is current and correct.
  • Maintain appropriate professional boundaries in relationships with children and with all members of the school community, including external agencies and providers.

Position Requirements:

The Accounts Administrator should be an experienced professional committed to supporting the SLT as well as the wider school community in developing caring, responsible, and appreciative citizens who value individuality while being drawn to become an integral part of something bigger than themselves.

They should meet the following requirements:


Education and Experience

  • Successful experience in administration and financial management
  • A working knowledge of QuickBooks accounting software to include invoicing, receipting, payables, general journaling, bank reconcillations and credit card reconciliations.
  • A sound knowledge of Excel, capable of working with complex spreadsheets, writing formulas and linking data
  • A sound knowledge of operational best practices
  • A clear understanding and experience of Child Protection and Safeguarding policy and procedures
  • Experience of working within management and reporting procedures
