About this role
Job Purpose:
As a member of the Human Resources & Administration team, provide comprehensive corporate administration support and deliver professional services to internal stakeholders.
Support front-desk and reception operations, including visitor management, meeting and event coordination, workplace maintenance, and vendor management.
Assist with corporate administration and the implementation of regional administrative policies and procedures, including workplace management, travel coordination, company events, and other administrative initiatives assigned by management.
Main Duties and Responsibilities:
- Provide professional and responsive customer service to internal and external stakeholders.
- Support executive and business requests, including meeting and event coordination, business meals, transportation, and travel arrangements.
- Perform workplace operations and facilities-related duties, liaising with service providers to ensure timely and satisfactory service delivery.
- Support office operations outside normal business hours or on weekends when required and approved in advance.
- Perform data entry and maintain accurate records, particularly within the ERP system.
- Manage reception duties, including welcoming visitors, handling inquiries, answering telephone calls professionally, and directing calls as appropriate.
- Support the planning and execution of corporate events, employee engagement activities, and workplace initiatives.
- Coordinate and monitor administrative vendors and service providers to ensure service quality and compliance with company requirements.
- Assist in maintaining an efficient, safe, and professional workplace environment.
- Perform other ad hoc administrative duties and projects assigned by the line manager.
Qualifications and Requirements:
- High school diploma or equivalent qualification
- Good interpersonal and communication skills, proactive mindset and self-motivated
- Proficient in MS Office including Word, PowerPoint, Excel; ERP experience will be an advantage
- May be required to work outside office hours to support events and activities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and accuracy in handling administrative tasks. Previous experience in handling sensitive and confidential information with discretion.
- High proficiency in English and Chinese.
