Nardello & Co. is a global investigative firm specializing in due diligence, litigation support and internal investigations is seeking an Administrative Assistant to provide a wide range of operational, administrative and business to ensure the smooth running of the Dubai office and ad hoc operational support to the wider EMEA region.


Reporting to the Head of MENA, with a dotted line to EMEA’s Chief of Staff, the successful candidate will be a self-starter who is highly organized, detail oriented, exhibits a professional demeanour, and a creative thinker who excels at anticipating and solving problems.


Key Responsibilities

Office & Facilities Management

  • Manage meeting room scheduling, and room set up.
  • Troubleshoot issues with phones, computers, copiers and other office equipment including acting as the liaison with repair vendors. for all facilities-related matters,
  • Ensure the Dubai office is well-maintained orderly and fully equipped for day-to-day operations; liaise with cleaners and vendors.
  • Monitor and replenish kitchen and office supplies, placing regular and one-off orders as needed.
  • Ensure cost-conscious, reliable procurement.
  • Provide our other EMEA locations with operational support and assisting with ad-hoc duties as required.



Workplace & People Support

  • Serve as the first point of contact for guests and ensure a professional, warm welcome to the office.
  • Organise and arrange lunches, gifts, and other office-wide touchpoints for birthdays, milestones, and team celebrations, as required.
  • Ensure desk setup, IT equipment, building access for colleagues visiting the Dubai office.


Practice & Admin Support

  • Provide administrative support to Head of MENA and team, including calendar management, document preparation support, client relationship management.
  • Input and submit weekly timesheets and expenses.
  • Assist with domestic and international travel bookings and related logistics.
  • Answer phones, route calls and take messages.


Business Development & Marketing Support

  • Assist the team to ensure business development activities are logged in SalesForce.
  • Assist with event orders and conference materials.
  • Support with Nardello & Co. culture events and occasional internal event coordination (e.g. finding venues and booking reservations).
  • Help liaise with third parties to schedule group meetings.


Flexibility & Cross-Team Support

  • Support across practice groups or other business areas.
  • Respond to evolving business needs and operational priorities.


Work Environment Details

  • The position operates in a professional environment.
  • In-office role work week.
  • Standard hours are 9:00 to 18:00; some flexibility in hours due to different working days in the GCC and overtime may be required.
  • Lifting and moving of supplies and light equipment.

Minimum requirement:

  • In an office setting, in professional services and/or legal industry.
  • Highly effective time management skills and the ability to prioritize work.
  • Excellent problem-solving skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • The ability to work with all levels of the organization within a fast paced and ever-changing environment.
  • Enthusiastic individual with "can do" mentality and self-starter attitude
  • Excellent written and verbal communication in English. Arabic will be an advantage.
  • Ability to deliver error-free execution of tasks in a timely and efficient manner.
  • Polished and professional demeanour in person and on the phone.
  • Proficiency in Microsoft Office tools (Outlook, Word, Excel, and PowerPoint), experience with SalesForce or other CRM a plus.
