Position Summary

The Advancement Coordinator provides administrative, marketing, communications, and event support for the Office of Advancement. This position assists with the day-to-day operations of the department, including marketing initiatives, Foundation activities, special events, purchasing and procurement processes, recordkeeping, and general office administration.

The Advancement Coordinator works closely with the Vice President of Advancement and other college departments to support initiatives that strengthen Ranger College's visibility, community engagement, donor relationships, and institutional advancement efforts

Essential Duties and Responsibilities

Advancement & Foundation Support


  • Provide administrative support to the Vice President of Advancement and the Office of Advancement.

  • Assist with Ranger College Foundation activities, donor engagement initiatives, fundraising efforts, and special projects.

  • Assist with planning and coordinating Foundation and College events, including fundraisers, donor events, recognition events, golf tournaments, and other special activities.

  • Help prepare event materials, invitations, signage, registration information, sponsorship materials, and attendee lists.

  • Assist with event setup, registration, execution, and cleanup as needed.

  • Maintain organized files and records related to Foundation activities, donors, sponsorships, events, and Advancement initiatives.

  • Assist with donor acknowledgment letters, sponsorship correspondence, and other Advancement communications.

  • Maintain confidentiality when working with donor, financial, student, and institutional information.

Marketing & Communications


  • Assist with the development and distribution of marketing and promotional materials.

  • Help create and schedule content for College social media platforms and other digital communications.

  • Assist with creating flyers, graphics, announcements, advertisements, and other promotional materials while maintaining College branding standards.

  • Gather photographs, event information, student stories, and other content for marketing purposes.

  • Assist with promoting College programs, events, accomplishments, and initiatives.

  • Proofread and review marketing materials for accuracy, consistency, and professionalism.

  • Assist with maintaining and updating website content as assigned.

  • Coordinate with departments across the College to collect information needed for marketing and promotional efforts.

Purchasing & Administrative Support


  • Prepare and process purchase requests, requisitions, invoices, and other departmental purchasing documentation.

  • Track purchases, orders, invoices, sponsorship payments, and event-related expenses as assigned.

  • Maintain organized electronic and physical departmental files and records.

  • Assist with ordering marketing materials, promotional items, event supplies, and office supplies.

  • Coordinate with vendors and College departments regarding orders, invoices, deliveries, and event needs.

  • Maintain calendars, schedules, contact lists, spreadsheets, and other departmental records.

  • Assist with preparing correspondence, reports, presentations, meeting materials, and other documents.

  • Perform general office duties including filing, scanning, copying, organizing materials, answering inquiries, and maintaining departmental records.

Events & Community Engagement


  • Assist in the planning and execution of College and Foundation events.

  • Communicate with vendors, sponsors, volunteers, community partners, and College employees regarding event logistics.

  • Assist with sponsorship fulfillment, including signage, recognition, promotional materials, and event-day needs.

  • Represent Ranger College professionally when interacting with donors, alumni, community members, vendors, students, and other external partners.

  • Attend Advancement and College events as needed, including occasional events outside normal business hours.

Other Responsibilities


  • Work collaboratively with faculty, staff, students, donors, alumni, and community partners.

  • Maintain a high level of professionalism, organization, responsiveness, and customer service.

  • Manage multiple projects and deadlines simultaneously while adjusting to changing departmental priorities.

  • Assist with special projects and initiatives assigned to the Office of Advancement.

  • Perform other duties as assigned by the Vice President of Advancement.

  • Other duties as assigned.



Minimum Qualifications


  • Associate degree or equivalent combination of education and relevant experience.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple assignments and meet deadlines.

  • Strong attention to detail and accuracy.

  • Proficiency with Google applications, including Docs, Sheets, and Slides.

  • Ability to learn and utilize College software, purchasing systems, social media platforms, and other technology.

  • Ability to work independently while also functioning effectively as part of a team.

  • Ability to maintain confidentiality and exercise sound judgment.



Preferred Qualifications


  • Bachelor's degree in communications, marketing, business, public relations, higher education, nonprofit management, or a related field.

  • Experience in higher education, nonprofit organizations, fundraising, marketing, communications, or event planning.

  • Experience managing organizational social media accounts.

  • Experience with graphic design platforms such as Canva.

  • Experience with purchasing, requisitions, invoices, or budget tracking.

  • Experience coordinating events, volunteers, vendors, or sponsorships.

  • Strong interpersonal skills and the ability to communicate effectively with a variety of internal and external audiences.

Working Conditions

This position primarily works in an office environment but will also assist with events and activities throughout Ranger College locations and in the community. Some evening, weekend, or off-campus work may be required for College and Foundation events.



Physical Requirements

The position may require prolonged periods of sitting and computer use as well as standing and walking during events. The employee must be able to assist with event setup and transport or move supplies, promotional materials, and other event-related items as reasonably required.



ANNUAL SALARY/BENEFITS: Highly competitive and commensurate with experience and credentials. Group health and life insurance (60 day waiting period for health) and retirement benefits (TRS or ORP). Optional benefits include disability and dental insurance.
