Associate - Early Childhood

Purpose and Scope

The Associate – Early Childhood position works directly with Early Childhood Executive Director and Head Start Director on various unit functions relative to compliance of Head Start and Pre-K regulations. This position provides support by performing monitoring, compliance, and administrative services. The incumbent assesses and performs analysis on data and prepares data to facilitate administrative and customer service support for the Division of Early Childhood.

Essential Job Functions

Performs general clerical work as required, including but not limited to establishing and maintaining files, copying and filing documents, sending and receiving faxes and e-mails, answering the telephone, processing mail, maintaining lists and logs, and ordering office supplies.

Assists with collecting, preparing, and providing revisions of bi-weekly payroll timesheets and absence request forms for the Division of Early Childhood.

Prepares monthly calendar, updates phone directory, and other correspondence regarding departmental activities; oversees meeting requests and scheduling for conference room space.

Develops and applies solutions to daily Early Childhood-related concerns which require the regular use of ingenuity and creativity and competency in managing daily assignments; seeks alternative solutions consistent with applicable regulations.

Provides strong day-to-day support for customers with inquiries regarding student enrollment/registration for Early Childhood and Head Start program; ensures all staff receive helpful, courteous, and responsive customer service addressing their questions, concerns and needs.

Assists Early Childhood program staff with enrollment and assessment screenings for all program options.

Works with Compliance Data Advisor on programmatic service areas for all program options to ensure regulations are met.

Performs appropriate research and provides reports that are specific to compliance monitoring.

Collaborates with manager and other District staff to develop short- and long-range plans to assigned functional area.

Assists with device management and maintaining departmental inventory records of equipment, software, materials, and supplies; distributes, collects, and reconciles devices for the Early Childhood Division.

Completes project assignments for the Early Childhood Division, including the Annual Self-Assessments; collaborates with management and Early Childhood staff to determine the type, scope, and purpose of analysis.

Ensures high-quality service and efficiency of assigned transactions; makes suggestions for process improvements to the Early Childhood leadership team.

Accesses routine data and provides information to appropriate personnel.

Performs other related duties as assigned.

Minimum Qualifications

Graduation from an accredited college or university with a Bachelor's Degree in Business, Education, or related field or equivalent, for a total education/experience of 4 years.

Degree Equivalency Formula:

Bachelor’s Degree= 4 years plus required years of experience.

Master’s Degree=6 years plus required years of experience.
