About the Role
As the Client Care Coordinator, you'll be the heart of the client experience and play a key role in ensuring the clinic operates efficiently and smoothly.
This role is perfect for someone who enjoys working with people, thrives on organisation, and understands the fast-paced nature of a veterinary clinic.
Your responsibilities will include:
- Managing the day-to-day operation of the reception area
- Coordinating appointments, bookings, and daily schedules
- Greeting clients and patients and creating a welcoming clinic experience
- Handling client enquiries in person, over the phone, and via email
- Managing admission and discharge paperwork
- Processing payments and managing accounts
- Coordinating client communications and follow-up appointments
- Supporting workflow between reception, nursing, and veterinary teams
- Assisting with preventative healthcare reminders and client education
- Supporting administrative tasks and clinic operations as required
- Maintaining accurate client and patient records
- Helping ensure exceptional customer service is consistently delivered

About You
We're looking for someone who:
- Has previous experience working within the veterinary industry
- Has experience in veterinary reception, client care, practice administration, or a similar role
- Understands veterinary terminology and clinic workflows
- Has proven reception and customer service experience
- Is confident coordinating appointments and managing competing priorities
- Demonstrates excellent communication and relationship-building skills
- Is highly organised and detail-oriented
- Can remain calm and professional in a busy environment
- Enjoys working collaboratively with veterinarians, nurses, and clients
- Has experience using veterinary practice management software such as RxWorks (highly regarded)
- Brings a positive, proactive, and team-focused attitude
