An exciting opportunity to join the team at AP House Miami, FL. As the Client Concierge Coordinator, you will play a key role in creating exceptional and memorable experiences for every guest.
As Client Concierge Coordinator, you will support the client journey from the moment a reservation is made through the completion of their boutique visit. You will be responsible for managing reservations and inquiries, coordinating schedules, welcoming clients, gathering information to build and maintain client profiles, and ensuring a seamless, personalized experience. Reporting directly to the Boutique Director, you will serve as a key brand ambassador, delivering exceptional service, demonstrating empathy, and fostering strong client relationships while creating memorable experiences for every guest.
RESPONSIBILITIES
- Foster strong relationships and smooth collaboration with the entire team while supporting managers and colleagues during each shift to ensure efficient service.
- Promptly and courteously answer phone calls in line with AP standards and handle all reservation inquiries, including walk-ins, managing multiple appointments.
- Accurately process reservations, cancellations, and amendments, ensuring all details, guest profiles, preferences, seating assignments, sales associate information, and F&B requirements are recorded in the CRM.
- Send reservation confirmations via email, letter, or phone call within 24 hours and communicate special guest requirements or personal information to the appropriate team members.
- Welcome guests warmly in accordance with AP standards, assist with belongings, ensure their prompt return, and maintain a professional first impression.
- Escort clients to their sales associate, assist with accessibility needs or obstacles, offer and serve beverages, and support guests throughout their boutique visit.
- Notify the manager on duty of guest feedback, requests, or complaints to ensure immediate follow-up and resolution.
- Assist guests upon departure or return to their seating area, maintain the cleanliness and organization of the reception area, and contribute to the effective management of the boutique while upholding high moral standards and teamwork.
Qualifications
- Minimum 2 years of experience in a client-facing role such as hospitality reservations, concierge services, healthcare administration, medical office coordination, luxury retail, or a similar service-oriented environment.
- Basic knowledge of the luxury watch industry.
- Strong customer service, relationship-building, and guest/client engagement skills, with the ability to deliver a high level of personalized service and demonstrate empathy.
- Experience managing multiple appointments, schedules, and client requests simultaneously while maintaining exceptional attention to detail.
- Demonstrated ability to work collaboratively as an active and effective member of a team.
- Strong motivational skills with the ability to contribute positively to team performance.
- Proficiency with CRM systems, scheduling platforms, email, word processing, and other computerized
- management systems, including strong client follow-up and communication skills.
- Excellent written and verbal communication skills in English; additional language proficiency is an asset, with the ability to prioritize tasks effectively and perform under pressure while maintaining a high level of service.
