About this role
We’re looking for a highly organized, detail-oriented Corporate Services Administrator to join our team and provide critical administrative support across Corporate Services.
This is primarily an HR-focused role, working closely with the HR Manager and HR Director and touching nearly every area of Human Resources. You’ll own important processes such as new hire onboarding, maintain the accuracy of our HR systems and employee records, coordinate interviews, and serve as a resource to employees and managers.
As part of Corporate Services, you’ll also provide administrative support to our Administrative and Marketing teams as needed. This is a great opportunity for someone who enjoys variety, takes pride in getting the details right, and wants broad exposure to the inner workings of a growing company.
What You'll Do
Human Resources
- Own the employee onboarding process from offer acceptance through the new hire's first days, including background checks, new hire paperwork, welcome packages, office setup, IT and Safety orientation, and coordination with hiring managers.
- Coordinate and present weekly new hire orientation, helping employees get off to a positive and informed start.
- Coordinate union onboarding paperwork and assist with union orientation.
- Coordinate employee offboarding activities, including termination notifications, exit interviews, equipment collection, and record updates.
- Maintain accurate employee information in BambooHR and other HR systems.
- Conduct regular audits of employee data and personnel records to ensure accuracy and integrity.
- Submit weekly employee changes to Payroll.
- Coordinate interviews and scheduling between candidates and hiring managers.
- Assist with job postings, candidate communications, background checks, and other recruiting activities.
- Serve as a helpful and responsive resource to employees, answering questions or directing them to the appropriate HR team member.
- Provide backup support for benefits administration.
- Monitor the HR inbox and ensure employee and candidate inquiries receive timely responses.
- Maintain HR documentation, communications, and the HR intranet.
- Support HR projects, employee events, and process improvement initiatives.
- Provide administrative support to the HR Manager and HR Director.
Corporate Services
- Provide administrative support to the Administrative and Marketing teams as needed.
- Assist with scheduling meetings, coordinating materials, organizing documents, and other administrative activities.
- Support Corporate Services projects and initiatives as needed.
- Handle confidential and sensitive information with professionalism and discretion.
What We're Looking For
- 2+ years of experience in Human Resources, administration, or a related field.
- Strong attention to detail and excellent organizational skills.
- Strong written and verbal communication skills.
- Confidence presenting information to groups and leading new hire orientation.
- A customer-service mindset and the ability to build positive relationships with employees, managers, and candidates.
- Strong follow-through and the ability to manage multiple priorities and deadlines.
- The ability to maintain confidentiality and exercise good judgment.
- Strong problem-solving skills and a proactive approach to your work.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience with an HRIS or other business systems is a plus.
- A bachelor's degree in Human Resources, Business Administration, or a related field is preferred; equivalent experience will be considered.
