Job Summary

Responsible for preparing quotations and processing customer orders while coordinating with sales, operations, logistics, and workshop teams to ensure timely order execution and customer satisfaction. This role supports day-to-day sales coordination activities, manages commercial documentation, and serves as a key point of contact for customer and internal enquiries.

Key Responsibilities

  • Manage order handling activities for the assigned area and collaborate closely with sales teams to support customer requirements.
  • Receive and process customer orders through the ERP system, ensuring all order information is accurate and complete.
  • Prepare quotations, order acknowledgements, invoices, contracts, service agreements, and other commercial documents.
  • Respond to customer and internal enquiries related to orders, deliveries, returns, and service requests, escalating issues when required.
  • Follow up on enquiries and prepare proposals or quotations as needed.
  • Coordinate with customers, sales, operations, logistics, and workshop teams to process orders and ensure timely delivery.
  • Track order status, maintain delivery schedules, and proactively communicate updates to stakeholders.
  • Verify delivery and payment terms, including Letters of Credit (L/C), bank guarantees, and other commercial requirements.
  • Monitor outstanding payments and follow up on payment-related matters where required.
  • Maintain accurate order records and commercial documentation within business systems.
  • Monitor order backlog and identify opportunities to improve processes, efficiency, and ways of working.
  • Support sales and marketing activities as required within the assigned region.

Requirements

  • Bachelor’s degree in Business Administration, Finance, Project Coordination, or a related discipline.
  • 2 to 5+ years of experience in customer service, order management, sales coordination, commercial administration, or finance operations.
  • Strong understanding of order processing, delivery terms, payment terms, Incoterms, Letters of Credit (L/C), and bank guarantees.
  • Experience working with ERP systems and CRM platforms such as Salesforce.
  • Proficient in Microsoft Office applications.
  • Strong written and verbal communication skills in English.
  • Ability to build effective relationships with customers and internal stakeholders.
  • Strong organizational skills with the ability to manage multiple priorities independently.

  • Works independently to complete assigned responsibilities with minimal supervision.
  • Manages day-to-day sales coordination and order management activities while supporting customer and internal requirements.
  • Uses initiative to resolve operational issues and improve existing processes.

  • Primarily national, with responsibility for supporting customers and stakeholders within the assigned market.
