Position Purpose
- The ERP Admin is responsible for ensuring the effective implementation, configuration, and ongoing support of the company’s ERP/PMS system across fleet and shore operations. The role ensures that the system is fully aligned with company processes, maintenance standards, and operational requirements, while supporting users and driving proper system adoption.
Core Job Functions
- System Administration & User Support
- Provide first-line support to all ERP/PMS users (onboard and ashore)
- Troubleshoot system issues and escalate to IT when required
- Ensure continuous system availability and smooth operation
- Maintain system integrity by correcting errors and inconsistencies in data
- Act as the central coordination point between users and IT personnel in charge.
- Database records clean up
- Training & Familiarization
- Plan and deliver training sessions for:
New joiners (seagoing and shore personnel)
Existing users requiring refresher or advanced training
- Provide role-based training tailored to ranks and responsibilities onboard
- Develop and maintain training materials, guides, and reference documentation
- System Configuration & Workflow Management
- Configure the IRP system to reflect company procedures and operational workflows
- Maintain:
User roles and access rights
Task ownership and responsibilities
Approval and reporting workflows
- Ensure the system mirrors actual onboard practices and management structure and procedures
- Promote standardization across vessels while tailoring practical ship specific requirements, were needed
- Database Management & Data Analysis
- Maintain and continuously update IRP/PMS databases ensuring accuracy, completeness, and standardization
- Perform cross-vessel data comparison and validation to identify inconsistencies and drive alignment across the fleet
- Support new vessel integrations including system setup and PMS population
- Assist with data migration, standardization, and validation
- Coordinate rollout of system changes and ensure smooth fleet-wide adoption
- Manage data updates related to:
New vessel integrations
Changes in equipment, maintenance requirements, or company standards
- Upload, structure, and validate PMS data for new ships and system updates
- Extract system data and perform analysis to support technical and management decisions
- Prepare and provide statistical reports and performance insights (e.g. maintenance compliance, overdue trends, system usage)
- Support stakeholders with data-driven recommendations for improvement and planning
Core Competencies
- Bachelor’s degree in Information Technology, Computer Science, Business Information Systems, or other relevant discipline
or
- Seagoing engineering background will be considered an advantage
- Previous experience in shipping technical operations, planned maintenance, procurement, dry-docking, vessel performance, compliance, or fleet management will be considered highly advantageous
- Strong analytical and problem-solving skills
- Excellent knowledge of Microsoft Office, especially Excel and PowerPoint
- Experience with data validation, reporting tools, dashboards, or Power BI will be considered an advantage
- Ability to communicate fluently in English, both verbally and in writing
- Strong communication skills with the ability to interact effectively with technical, operational, IT, and management stakeholders
- Ability to work under pressure, manage multiple priorities, and meet project deadlines
- Structured, detail-oriented, and capable of documenting processes, requirements, and system issues clearly
