Facilities & Procurement Specialist
The Facilities & Procurement Specialist plays a key role in ensuring the smooth, safe, and efficient operation of the company's facilities. The position is primarily responsible for managing workplace infrastructure, facility services, and vendor partnerships, while also supporting procurement activities to ensure business continuity, operational excellence, and cost efficiency.
Facilities Management
- Overseeing the day-to-day operations of company facilities (stores, offices, equipment, and infrastructure)
- Coordinating preventive and corrective maintenance activities, repairs, and technical services
- Managing relationships and performance of external service providers, including cleaning, security, maintenance, and utilities vendors
- Ensuring compliance with health & safety regulations, workplace standards, and company policies
- Monitoring facilities-related contracts, service levels, and vendor agreements
- Participating in company’s renovations, relocations, workplace improvements, and expansion projects
- Identifying and implementing initiatives to improve workplace functionality, employee experience, and operational efficiency
- Tracking facilities expenses, budgets, and cost-control measures
- Acting as the main point of contact for facility-related issues and business continuity requirements
Procurement
- Supporting the procurement of office supplies, equipment, and operational services
- Sourcing, evaluating, and maintaining relationships with suppliers and service providers
- Assisting in negotiating pricing, service terms, and contracts to achieve cost efficiencies
- Tracking purchase orders and ensuring timely delivery of goods and services
- Monitoring inventory levels and supporting procurement budget management
- Maintaining supplier records, contracts, and procurement documentation
- Identifying opportunities for process improvements and cost optimization
Qualifications
- Bachelor’s degree in Business Administration, Supply Chain, Engineering, or a related field
- 2-4 years of experience in Facilities Management and/or Procurement
- Solid understanding of procurement processes and facilities operations
- Strong organizational and multitasking skills
- Experience in vendor management and negotiation
- Proficiency in Microsoft Office (especially Excel)
- Fluency in English (written & spoken)
- Analytical and problem-solving mindset
- Results-oriented and detail-focused
- Ability to work well in a team, fast-paced environment and present a professional demeanor
