Job Overview:
The Front Office Coordinator manages all the front office administrative tasks.
Essential functions include but are not limited to:
- Ensure the front office is operating smoothly by managing and overseeing all the administrative duties for RHM Gynecology
- Interface with patients to schedule appointments, manage inquiries, and coordinate communication
- Receive and process payments
- Coordinate all in-coming and out-going inquiries and communication within a 24-hour period
- Receive and direct phone calls to the appropriate personnel
- Collect and file patient paperwork and medical records, including insurance information, patient in-take form, charting information, test results, and external medical reports
- Manage in-coming and out-going medical records to other facilities
- Manage in-coming and out-going faxes and emails
- Manage appointment calendar and schedule both in-person and telehealth appointments
- Receive and sort incoming mail and prepare outgoing mail (when in office)
- Maintain stock of office supplies (when in office)
- Ensure reception area is well maintained (when in office)
- Greet patients (when in office)
- Provide other administrative tasks as necessary
Qualifications
- Align with the mission of RHM, which recognizes that all persons have dignity from the moment of conception until natural death
- 1 -2 years of work experience in an administrative role preferred
- Knowledge of general administrative and clerical procedures
- Exceptional attention to detail
- Strong organizational and time management skills
- Ability to prioritize and efficiently manage tasks within a fast-paced working environment
- Excellent communication and interpersonal skills
- Strong problem solving and analytical skills
- Intermediate computer and software skills
- Ability to learn new software, including Athena, Microsoft Outlook 365 and RingCentral
- Working knowledge of healthcare insurance and medical terminology (preferred)
Physical Requirements:
- Hearing: Adequate to perform job duties over the telephone. Able to respond to verbal questions.
- Speaking: Must be able to communicate clearly to patients and staff over the telephone.
- Vision: Visual acuity adequate to perform job duties, including visual examination of patient and reading information from printed sources and computer screens.
- Other: Requires long period of times sitting, viewing computer screen and repetitive keystrokes.
