Fulfillment Operations Associate

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Fulfillment Operations Associate based in the United States.

This role sits within an expert-focused operations team supporting the delivery of AI research projects.
You will help ensure the right experts are matched to the right projects based on skills, availability, and requirements.
The position covers the full expert lifecycle, from matching and onboarding through activation, engagement, and offboarding.
You will own operational workflows, improve expert satisfaction and retention, and ensure projects are staffed efficiently.
A major part of the role involves identifying bottlenecks and replacing repetitive manual processes with scalable systems and automation.
You will collaborate closely with operations, engineering, finance, project teams, and external vendors.

• Own expert fulfillment and matching, connecting qualified experts with projects based on skills, availability, and project requirements while maintaining a healthy balance between supply and demand.

• Drive expert activation from initial matching through kickoff, guidelines, first assignments, and ramp-up, reducing delays and drop-off throughout the process.

• Own expert satisfaction, NPS, and retention, developing policies, systems, SOPs, and follow-up processes that support a strong expert experience.

• Manage end-to-end onboarding and offboarding, including contracts, background verification, platform and tool access, system setup, deprovisioning, and final closeout.

• Manage relationships and operational workflows involving software platforms, background-check providers, payment and contracting systems, and other fulfillment vendors.

• Identify operational bottlenecks and develop internal tools, automation, and scalable workflows to improve matching, access management, contracting, verification, and status tracking.

• Establish clear documentation, trackers, SOPs, and handoffs to maintain operational consistency and visibility across teams.

• Partner with project, operations, engineering, finance, and other stakeholders to resolve issues and keep fulfillment activities moving efficiently.

• Monitor operational performance, identify opportunities for improvement, and use data and feedback to strengthen fulfillment speed, quality, and expert engagement.

Requirements

• Demonstrated experience in fulfillment, delivery operations, contractor or expert onboarding, staffing, talent marketplaces, or a comparable operational environment.

• Proven ability to manage meaningful operational volume, with experience tracking throughput, turnaround times, capacity, and cost.

• Experience owning an NPS, CSAT, retention, customer success, expert success, or comparable performance metric and improving results through structured processes.

• Strong operational rigor, with a demonstrated ability to create and maintain documentation, SOPs, trackers, workflows, and reliable handoffs.

• High ownership and independence, with the ability to identify problems, develop solutions, execute quickly, and drive follow-up across multiple teams.

• Experience in delivery operations, program operations, business operations, Chief of Staff functions, or fulfillment within a rapidly scaling organization is valuable.

• Familiarity with talent marketplaces, expert networks, staffing organizations, data-labeling or human-data operations, matching systems, or multi-step onboarding workflows is a plus.

• Experience managing onboarding, vendor, compliance, or contractor workflows from end to end is advantageous.

• Genuine interest in using AI tools and automation to improve individual and team productivity.

• Strong organizational, analytical, communication, and problem-solving skills, with the ability to operate effectively in an evolving environment.

• Base salary of $35,000–$55,000 USD per year.
