About this role

Our client, a well-established organisation, is looking to recruit an HR Administrator to join their People & Culture team.

The successful candidate will provide day-to-day administrative support across different HR activities, including employee documentation, work permits, recruitment and onboarding. This role would suit someone with previous HR administration experience who is organised, detail-oriented and comfortable dealing with local employment authorities.

Responsibilities

  • Provide general administrative support to the People & Culture team.

  • Assist with the preparation and processing of employment-related documentation, including work permits and employment verification documents.

  • Liaise with relevant Maltese authorities, including Jobsplus and Identità, in relation to employment documentation and processes.

  • Maintain accurate and up-to-date employee records, both digitally and through physical filing systems.

  • Support recruitment activities, including CV screening, interview scheduling and communication with candidates.

  • Assist with the preparation of HR letters, forms, templates and other employee documentation.

  • Support employee onboarding by preparing the necessary documentation and orientation materials.

  • Ensure HR documentation and employee information are handled accurately and confidentially.

  • Provide additional administrative support to the HR team as required.

Requirements

  • 1–2 years of experience within HR administration or a similar role.

  • Previous experience dealing with Maltese government authorities regarding employment documentation, particularly Jobsplus and Identità.

  • Good understanding of general HR administrative processes.

  • Strong verbal and written communication skills.

  • Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.

  • Excellent organisational skills and strong attention to detail.

  • Ability to handle confidential and sensitive employee information with a high level of discretion.

  • Proactive approach with the ability to manage multiple administrative tasks and deadlines.

  • Ability to work effectively both independently and as part of a team.
