About this role

IEP Coordination

  • Manage and track all stages of the IEP process, including:
    • Schedule draft due dates, pre-meetings, and IEP meetings
    • Create Letters of Invitation (LOIs)
    • Send draft IEPs, meeting reminders, finalized documents, and Medicaid forms
  • Maintain accurate tracking spreadsheets to ensure IEP compliance deadlines and documentation
  • Download and distribute caseload IEPs to contractors and special education teachers
  • Follow up on unsigned paperwork through coordination with operations teams, families, and school staff

Student Records & Documentation

  • File incoming IEPs and evaluation documents for new and transferring students
  • Work with operations team in requesting educational records from previous schools and districts as it relates to SWD
  • Fulfill document and records requests in a timely manner
  • Maintain organized and confidential student records in compliance with district and federal guidelines

Testing Coordination

  • Coordinate in-person testing logistics, including securing locations and schedules
  • Contact parents to remind them of testing appointments- 1 day prior to ensure students come to school
  • Communicate student absences to contractors on testing days
  • Ensure testing documentation and communication are completed accurately

Progress Reports

  • Create and maintain progress report tracking spreadsheets
  • Open, print, organize, and distribute progress reports by class
  • Save and send finalized reports to the front office
  • Log parent and stakeholder contacts related to progress reporting

Extended School Year (ESY) Support

  • Create and maintain ESY participation tracking spreadsheets
  • Send ESY amendments, parent letters, and surveys
  • Track student attendance confirmations and follow up with families as needed
  • Maintain communication logs regarding ESY participation

Meeting & Staff Coordination

  • Create and distribute biweekly Special Education meeting schedules for administration
  • Collaborate with Sub Planner and school leadership to coordinate meeting coverage
  • Support communication between special education staff, contractors, administrators, and families

Qualifications

  • Strong organizational and time-management skills
  • Ability to manage multiple deadlines and confidential records
  • Excellent written and verbal communication skills
  • Proficiency with spreadsheets, document management systems, and office software
  • Experience working in special education, school administration, or compliance support preferred
  • Knowledge of IEP processes, Medicaid documentation, and special education compliance preferred

Compensation & Benefits:

Salary range is $22.00 -$26.00 an hour, based on educational level, certification(s), and years of experience. Employment will be renewed according to evaluations and staff interest.
