Your New Role
This is a full-time, on-site position supporting Airtronics' HVAC and clean heat installation operations. You’ll:
Own the HVAC installation calendar from sold job through completed installation.
Build and manage installation schedules, assign technicians and crews, balance workloads, and sequence multi-day HVAC installations efficiently.
Respond quickly to weather disruptions, equipment or parts delays, staffing changes, and other scheduling conflicts by reassigning and rescheduling jobs.
Keep customers and field teams informed whenever schedules or arrival windows change.
Maintain accurate job statuses, crew assignments, scheduling information, and customer notes within CRM and scheduling systems.
Track scheduling KPIs, including on-time starts, crew utilization, and completed installations.
Confirm installation details with homeowners, including arrival windows, site preparation requirements, and what to expect during the HVAC installation.
Serve as a key customer contact from the time a job is sold through installation completion and follow-up.
Coordinate HVAC equipment, materials, permits, and delivery readiness with warehouse and installation management teams.
Communicate daily with sales, warehouse, installation managers, and field crews to keep office and field operations aligned.
Help develop and follow installation coordination, dispatching, scheduling, and operational best practices.
Perform other duties as assigned.

Requirements
3–5+ years of scheduling, dispatching, project coordination, or related operations experience
HVAC, plumbing, electrical, construction, or skilled trades experience strongly preferred
Ability to coordinate multiple field crews and manage a high volume of active installation jobs and changing priorities
Strong verbal and written communication skills for working with customers, technicians, installers, sales teams, warehouse staff, and management
Strong computer skills with the ability to quickly learn CRM, dispatch, and scheduling software
ServiceTitan experience is a plus
Strong attention to detail and accurate data-entry skills
Ability to remain composed, make timely decisions, and adjust schedules when weather, materials, equipment, or staffing affect operations
Reliable and punctual with the ability to follow established processes in a fast-paced HVAC environment
Bilingual English/Spanish communication skills are a plus
Full-time, in-office availability required
Ability to work within limited PTO availability during the peak summer season from June through August
