CRM Specialist

The mission

The CRM Specialist is responsible for the day-to-day administration, configuration, and continuous improvement of Microsoft Dynamics 365 across the Sales and Marketing departments. This is an internal role created to replace the current external provider model and bring CRM expertise in-house, enabling faster response times, deeper alignment with business needs, and greater cost efficiency.

The CRM Specialist will work hand-in-hand with the Commercial Assistant, who acts as the primary liaison between the sales teams, customer support, and the CRM function. All change requests and improvement initiatives will be channeled through this working relationship, ensuring structured and prioritised delivery.

What you'll be Up to

System Configuration & Customization

  • Configure and customize Microsoft Dynamics 365 (Sales and Marketing modules) to meet evolving business requirements.
  • Design and maintain custom entities, fields, forms, views, dashboards, and workflows within Dynamics 365.
  • Develop and manage business process flows, automation rules, and Power Automate flows.
  • Implement changes and enhancements requested by sales, marketing, and customer support teams in a structured, prioritized manner.

Request Management & Collaboration

  • Work closely with the Commercial Assistant to receive, assess, and prioritize incoming CRM change requests from all departments.
  • Translate business requirements from sales and customer support into clear CRM configurations and solutions.
  • Maintain a change log and communicate progress and timelines to stakeholders.
  • Coordinate with the external provider during the transition period to ensure full knowledge transfer.

Data Quality & Governance

  • Monitor and maintain data integrity across CRM records, ensuring accuracy, completeness, and consistency.
  • Design and enforce data entry standards and validation rules.
  • Perform regular data audits and cleansing activities.
  • Manage user roles, security profiles, and access permissions.

Reporting & Analytics

  • Build and maintain sales and marketing dashboards and reports within Dynamics 365.
  • Support the Commercial Director and department heads with ad-hoc data extractions and analysis.
  • Collaborate with the Marketing Intelligence function on CRM-driven campaign performance reporting.

System Maintenance & Support

  • Manage CRM updates, patches, and new Microsoft releases, assessing impact before deployment.
  • Troubleshoot and resolve CRM issues raised by users promptly.
  • Maintain technical documentation of all configurations, customisations, and integrations.
  • Support integrations between Dynamics 365 and other business tools (e.g. email platforms, ERP, support systems).

Training & User Adoption

  • Deliver training sessions and create user guides to support CRM adoption across teams.
  • Act as the internal CRM expert and first point of contact for user queries and best practices.
  • Champion continuous improvement in CRM usage and advocate for new features that drive efficiency.

The essentials

Technical Skills

  • Minimum 2 years of hands-on experience with Microsoft Dynamics 365 (Sales and/or Marketing modules).
  • Proven ability to configure and customize Dynamics 365 without requiring developer-level coding.
  • Experience with Power Platform (Power Automate, Power BI) is a strong plus.
  • Familiarity with CRM data models, entity relationships, and security roles.
  • Knowledge of Microsoft 365 ecosystem (Outlook, Teams, SharePoint) and how it integrates with Dynamics 365.

Soft Skills & Competencies

  • Strong organizational skills and ability to manage multiple concurrent requests and priorities.
  • Clear communication skills — able to translate technical concepts for non-technical stakeholders.
  • Proactive mindset with a continuous improvement orientation.
  • Collaborative team player comfortable working across sales, marketing, and support functions.
  • High attention to detail and commitment to data quality.

Education

  • Bachelor's degree in Information Technology, Business Informatics, Computer Science, or a related field.
  • Microsoft Dynamics 365 certification (e.g. MB-910, MB-210) is preferred but not mandatory.
