About this role
The Office Manager will oversee the day to day administrative and facilities operations of ASICO's Dubai offices, ensuring a well organized, efficient, and professional working environment. The Office Manager acts as the operational backbone of the office, supporting the Head of Customer Experience and Internal Operations and coordinating closely with HR, Finance, and the Project and Property Management teams to keep office administration, procurement, and vendor management running smoothly .
Key Responsibilities & Accountabilities
- Office Administration & Facilities - Manage daily office operations, including facilities, supplies, and vendor contracts (cleaning, maintenance, security, catering) and Maintain Office compliance standards in line with Dubai Municipality.
- Vendor & Procurement Management - Oversee procurement of office supplies and equipment, negotiating with suppliers to ensure cost efficiency . Manage petty cash and basic invoice processing, liaising with Finance on office related expenses.
- Administrative Support to departments - Coordinate office administration across ASICO's divisions, supporting smooth information flow between the Project and Development Management and Property Management teams.
- Reception, Travel & Documentation- Manage front desk operations, visitor reception, and meeting room scheduling and Coordinate travel arrangements, courier services, and document management for senior management.
- Events & Engagement - Organize internal events, staff engagement activities, and company functions.
Requirements
- Minimum 5 years of experience in an office management or senior administrative role, ideally within real estate, construction, or a related industry in the UAE.
- Strong knowledge of UAE office administration practices; familiarity with Dubai regulatory requirements (RERA, DLD, Ejari, Dubai Municipality) is an advantage.
- Excellent organizational and multi- tasking abilities, with strong attention to detail and discretion when handling confidential information.
- Proactive, solutions oriented, and comfortable working in a fast paced, multi entity corporate environment.
- Bachelor's degree in Business Administration, Office Management, or a related field.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Fluent in English; Arabic is an advantage.
- Valid UAE driving license preferred.
