We're looking for an organized, resourceful, and personable Office Manager & Front Desk Coordinator who serves as the central point of connection for our workplace. This highly visible, hands-on role is responsible for creating a professional, welcoming, and efficient environment for employees, visitors, tenants, and business partners across our Boston and Lowell locations.

Essential Duties & Responsibilities
- Serve as the face of the organization, welcoming visitors and creating a friendly, professional first impression while providing exceptional customer service.
- Oversee the day-to-day administration of our Boston and Lowell offices, ensuring workspaces are organized, well-stocked, and operating efficiently.
- Build positive working relationships with employees, tenants, vendors, service providers, and visitors.
- Coordinate meetings, office tours, and company events, including catering and hospitality services.
- Manage office supplies, inventory, mail, deliveries, and vendor relationships.
- Provide administrative support to leadership and assist with special projects and changing business needs.
- Support employee onboarding activities, including workplace setup and uniform coordination.
- Anticipate needs, troubleshoot issues, and take ownership of problems through resolution.
- Identify opportunities to improve processes and enhance the overall workplace experience.
- Pitch in wherever needed to support the team and keep day-to-day operations running smoothly.
- Foresee issues and collaboration on resolutions.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
Qualifications
- 3+ years of experience in office management, administration, workplace services, hospitality, executive support, or a related field.
- A warm, approachable personality and the ability to work effectively with people at all levels of an organization.
- Strong organizational skills with the ability to manage multiple priorities and adjust quickly when needs change.
- A calm, solutions-oriented approach, particularly in fast-paced or high-pressure situations.
- The ability to work independently, exercise good judgment, and take initiative while also being a collaborative team player.
- A proactive, "figure it out" mindset with a willingness to take ownership and strong follow-through.
- Excellent communication and customer service skills.
- Flexibility and a willingness to take on responsibilities outside of a traditional job description when needed.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and Zoom.
- Valid driver's license and the ability to travel regularly between Boston and Lowell.
- Associate degree preferred.
Physical Requirements
- Ability to walk throughout office and facility environments.
- Ability to maintain regular and reliable attendance.
- Ability to lift and carry up to 50 pounds.
- Ability to travel between company locations as required.
- Ability to safely perform the essential functions of the position in accordance with applicable federal, state, and local laws.
