About the Role

We are seeking an Executive & Administrative Professional who thrives on keeping operations organized and supporting business success. In this role, you will work directly alongside executives and business owners to manage their day-to-day operations — coordinating calendars, communications, and administrative workflows so they can stay focused on their priorities. This is a reliable, detail-oriented role for someone who stays one step ahead of daily priorities, follows through consistently, and takes pride in accurate execution.

Key Responsibilities

  • Manage executive calendars, scheduling, and appointments across multiple time zones with accuracy and professionalism.
  • Handle email correspondence — flag priorities, draft responses, and ensure nothing goes unanswered.
  • Prepare meeting agendas and supporting materials ahead of time.
  • Take meeting notes, track action items, and follow up with the relevant people.
  • Coordinate travel logistics — flights, accommodations, ground transport, and itineraries.
  • Perform data entry, maintain databases, and organize digital files and documentation.
  • Prepare reports, spreadsheets, and other business documents as needed.
  • Handle sensitive client and company information with discretion and confidentiality.
  • Identify opportunities to improve administrative processes and recommend workflow enhancements.
  • Perform other administrative tasks assigned by the client or management.

Requirements

  • Fluent in English with excellent written and verbal communication skills in a US Business Environment.
  • 3+ years of experience in the BPO or outsourcing industry supporting U.S.-based clients — required and must be documented on your resume.
  • Your last 3 positions should reflect an average tenure of at least 1 year per role; this will be verified during the screening process.
  • Strong organizational skills with attention to detail.
  • Experience providing administrative or operational support in a professional environment.
  • Proficient in Google Workspace and/or Microsoft Office Suite.
  • A proactive, self-motivated attitude — you follow through without being reminded.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Bachelor's degree or relevant experience preferred.
