About this role
We are looking for a highly organised and proactive Personal Assistant & Office Coordinator to support the Director and ensure the smooth coordination of office operations and KEK activities.
Responsibilities:
- Provide secretarial and administrative support to KEK.
- Assist in the organisation and coordination of training programmes, seminars, and other KEK activities.
- Communicate with trainers, participants, clients, and relevant authorities.
- Prepare correspondence, reports, and other administrative documents.
- Manage and maintain ERMIS platform entries, ensuring accurate and timely submission, monitoring, and follow-up of requests and related documentation.
- Maintain attendance records and assist with the issuance of certificates of attendance.
- Carry out general secretarial and administrative duties.
- Manage the Director's calendar, including scheduling appointments and prioritizing important matters.
- Provide full administrative support to the Director, including minutes of meetings.
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Monitor and manage office requirements related to the Director and ensure the smooth day-to-day operation of the office.
- Liaise with vendors, partners, and service providers and coordinate scheduled deliveries or bookings.
- Follow up and coordinate action points arising from meetings
- Coordinate the Director's professional commitments, including professional memberships, conference registrations, and participation in professional activities.
- Assist in managing the Director's professional commitments, including interviews, speaking engagements, and participation in events
- Arrange transportation both in Cyprus and abroad for the Director.
- Provide full administrative support to the Director, including minutes of meetings.
Requirements
- Excellent verbal, written and interpersonal communication skills, with a confident and positive personality
- Having attention to detail, problem solving skills and service orientation would be considered an advantage
- Have strong organisational and time management skills, able to prioritise across different tasks and meet deadlines as per business objectives
- Fluency in English & Greek language is a requirement. Additional languages will be considered an advantage
- At least 2 years of experience in a similar role
