About this Role

The Project Controls Systems Specialist will be responsible for designing, building, and maintaining the standardized project controls tools, workflows, and reporting used across the organization’s Smartsheet platform. This position will partner with Project Managers, Operations Directors, and other Project Controls team members to translate core project controls processes – project intake, schedule baselining, schedule tracking, and budget tracking – into standardized Smartsheet blueprints, workflows, forms, and dashboards used company-wide.

Work assignments will span multiple concurrent initiatives and project teams. While not otherwise engaged in building or refining Smartsheet solutions, the Project Controls Systems Specialist will support other project controls and proposal efforts, and provide ongoing training and support to Smartsheet users across the organization.

What You'll Do

• Designs, builds, and maintains standardized Smartsheet blueprints, templates, forms, and automated workflows to support project controls processes company-wide
• Establishes and documents a standardized methodology for tracking projects from intake through schedule baselining, schedule tracking, and budget tracking within Smartsheet
• Partners with Project Managers, Operations Directors, Project Controls, Scheduling, and IT/PMO to gather requirements and translate business processes into scalable Smartsheet solutions
• Develops and maintains real-time dashboards and reports that give leadership and project teams visibility into project status, schedule performance, and budget/cost performance
• Administers the Smartsheet environment, including user access and permissions, sheet and workspace governance, naming conventions, and version control
• Builds and maintains Smartsheet Control Center blueprints and provisioning to support consistent setup of new projects
• Evaluates and implements opportunities to integrate Smartsheet with other project systems (e.g., JDE, EcoSys, Primavera P6, Procore) to support end-to-end data flow
• Identifies manual or inconsistent project controls processes and develops automated, standardized Smartsheet solutions to replace them
• Trains and supports Project Managers, Project Controls staff, and other end users on new Smartsheet tools, blueprints, and workflows
• Troubleshoots Smartsheet issues, monitors solution performance, and continuously improves tools based on user feedback and evolving business needs
• Maintains documentation, including standard operating procedures, user guides, and workflow diagrams, for all Smartsheet solutions
• Supports change and risk management by identifying, documenting, and helping standardize mitigation and reporting processes within Smartsheet
• Performs other duties as assigned

What You'll Bring

• Bachelor’s degree in Business, Construction Science/Management, Engineering, Information Systems, or equivalent field; equivalent work experience, or combination of work and education, may be substituted
• 5+ years of project controls experience with multi-year design and construction projects
• Demonstrated experience building solutions in Smartsheet or a comparable work management/collaboration platform, including forms, automated workflows, and dashboards

Preferred Experience:

• Smartsheet Core Product Certification and/or Smartsheet Advanced Certification (System Administrator)
• Experience with Smartsheet Control Center, Bridge, Data Shuttle, and/or DataMesh for enterprise-scale solution management
• Project accounting/controls experience with multi-year design and construction projects, specifically within the EPC space
• Experience with JDE, EcoSys, Primavera P6, and/or Procore, including building integrations between these systems and Smartsheet
• Knowledge of CPM scheduling, cost loading, and resource loading
