Position Overview

The Receptionist & Administrative Assistant is the first point of contact for parents, students, visitors and external stakeholders, representing the school in a professional, welcoming, and courteous manner at all times. The Receptionist & Administrative Assistant is responsible for managing front-of-house operations, providing essential support to ensure the smooth day-to-day administrative operations of the school.


The ideal candidate will demonstrate a strong commitment to the School’s mission, values, and holistic approach to education, work effectively as part of a team, and contribute positively to the overall ethos of the school.


Qualifications, Skills and Experience:

  • Minimum of a high school diploma, preferably a university degree or diploma in business administration or related field
  • At least five years of experience in a customer-facing or administrative position
  • Excellent communication and interpersonal skills, high organizational skills, a friendly and clear telephone manner, and a professional approach when interacting with internal and external customers.
  • Knowledge using Microsoft Office programmes, with excellent competency in MS Word, Excel and Outlook
  • High degree of accuracy, efficiency, accountability and attention to detail.
  • Demonstrated integrity, resourcefulness and the ability to handle sensitive and confidential information regarding matters pertaining to finance, students, staff, parents, and stakeholders.
  • Ability to work independently, prioritise effectively, and meet deadlines diligently with minimum of supervision.
  • Excellent communication, interpersonal, negotiating and time management skills.
  • Be an excellent team player, supportive of the Catholic ethos, values and aims of the school, and committed to the holistic education of children.

Key Responsibilities:

Reception & Administration

  • Act as the primary point of contact for enquiries from students, parents, carers and other visitors, ensuring a warm, courteous, and professional welcome.
  • Answer incoming telephone calls, respond to general enquiries in a timely, friendly and efficient manner and ensure that enquiries are passed on promptly to the member of staff or student.
  • Manage the school’s reception area, ensuring it is orderly, presentable and secure at all times.
  • Receive and distribute mail, deliveries, and courier items to the relevant parties on campus, maintaining incoming and outgoing mail register.
  • Maintain visitor sign-in and sign-out procedures and issue visitor badges in accordance with safeguarding and school policies.
  • Respond promptly to incoming emails to the school’s general email account, forwarding messages to the appropriate staff member as necessary.
  • Coordinate the distribution of registers and other tasks during Hazard Management drills and real-time situations.
  • Support with the coordination of catering and transport for school-related activities.
  • Assist the School Nurse with contacting parents during the school day as needed and ensure basic cover for the School Nurse in their absence.
  • Provide general administrative support to the school office, including filing, photocopying, scanning and data entry.
  • Ensure the reception area is not left unattended and has coverage at all times during working hours, working closely with the Office Assistant to ensure coverage throughout the day.
  • Set an “Out of Office” message on the school’s general answering machine and any office closure notices on the front door before all school holidays.

Student & Parent Support

  • Support student arrivals, late sign-ins, early dismissals, and absences in accordance with the school’s attendance policy and procedures.
  • Record student attendance daily in the school information management system in accordance with the school procedures in a consistent and timely manner, marking absent students, and updating teachers accordingly.
  • Produce and submit weekly attendance reports to the Senior Leadership Team.
  • Support the organisation of the transcript request process, ensuring payment is made and the tracker is accurately updated for processing.

Executive Support

  • Provide high-level administrative and organisational support to the Senior Leadership Team.
  • Distribute correspondence, letters, documentation and items on behalf of the Senior Leadership Team.
  • Ensure that all records are current, properly maintained and archived as required in accordance with the Records Management policies and procedures, and in consultation with the Senior Leadership Team.


Salary and Benefits:

  • Competitive salary ranging from CI$30,000 - CI$45,000 per annum, based on experience and qualifications.
