Senior Accounts cum Operations Admin Executive

Job Summary:

The Accounts cum Operations Admin is responsible for supporting the Company’s finance administration and daily business operations to ensure accuracy, efficiency, and compliance. This role oversees accounts administration, inventory control, logistics coordination, commission calculations, and operational support while working closely with the outsourced accountant, warehouses, logistics partners, suppliers, and internal departments.

Key Responsibilities:

• Perform daily bank reconciliation by matching incoming customer payments with bank transactions and verify payment clearance before approving order fulfilment and shipment.

• Prepare, verify, and maintain financial documents including invoices, receipts, payment records, bank statements, and supporting documentation.

• Liaise with the outsourced accountant to ensure all accounting documents are complete, accurate, and submitted within the required timeline.

• Obtain and review monthly Profit & Loss (P&L) reports, ensuring sales revenue, cost of goods sold, operating expenses, gross profit, and net profit are reasonable and accurately reflected.

• Calculate monthly employee commissions based on the Company’s Commission Policy and verified customer payments, and prepare supporting records for management review.

• Maintain proper filing and documentation of financial records for audit, compliance, and statutory purposes.

• Assist in monitoring company expenses and ensure supporting documents are properly maintained.

• Coordinate daily logistics operations, including shipment arrangements, delivery scheduling, stock transfers, and order fulfilment with third-party warehouses and logistics providers.

• Monitor shipment status and resolve delivery delays, incorrect shipments, returns, damaged goods, and logistics discrepancies promptly.

• Coordinate with Customer Service, warehouses, suppliers, and logistics partners to ensure smooth operational workflow and timely resolution of operational issues.

• Monitor inventory levels, prepare replenishment planning, establish stock alerts, and prevent avoidable stock shortages.

• Perform periodic inventory reconciliation between ERP/system records and warehouse physical inventory.

• Monitor product expiry dates with pharmacy partners and coordinate stock rotation, product recalls, or replacement arrangements to minimise inventory losses.

Job Requirements:

• Degree or Bachelor’s Degree in Accounting, Finance, Business Administration, Operations Management, Logistics, Supply Chain Management, or a related field.

• Minimum 3-5 years of experience in Accounts, Finance Operations, Business Operations, E-commerce, FMCG, Third-Party Logistics (3PL), Inventory Management, or a related field.

• Hands-on experience in bank reconciliation, financial documentation, and coordinating with outsourced accounting firms.

• Experience in inventory control, logistics coordination, or operational administration is an added advantage.

• Good understanding of accounting principles, finance administration, inventory management, logistics coordination, and operational processes.

• Proficient in Microsoft Excel, Google Sheets, ERP systems, accounting software, and Ai productivity tools.

• Strong communication and problem-solving skills with the ability to coordinate effectively across departments and external stakeholders.
