SUMMARY

The Service Writer provides administrative and operational support to the Fleet Service Department, with responsibility for work order administration, WIP tracking and reporting, employee time and payroll documentation, equipment records, and service coordination.


This role works closely with the Shop Foreman and other stakeholders to maintain accurate records, coordinate third-party services and regulatory inspections, monitor work orders through completion, and support the efficient day-to-day operation of the Acheson fleet service facility.

JOB DUTIES


  • Assist in tracking incoming and outgoing customer equipment for yard listing
  • Track the progress of work orders during repair to update status changes and maintain accurate WIP reporting
  • Prepare WIP reporting
  • Open and revise new work orders/segments as required
  • Review Work Orders to ensure accuracy before completion
  • Enter Daily Work Journals into system & update Work Order List
    • Create & submit weekly payroll reports to HR
    • Create & submit Employee Change Forms, as required
  • Manage vacation calendar for Acheson (office & shop employees)
  • Enter scope of work for estimate drafts from RMI’s
  • Prepare estimate drafts as required
  • Assist Shop Foreman with the maintenance of work orders in progress to ensure timely closure
  • Book third party field calls, follow-up to ensure completion and enter vendor invoices into work orders, act as point of contact
  • Manage CVIP’s, CERT’s, and Mechanical Inspection, including advise respective sites of pending expirations
    • Book appointments for expiring units
    • Update records in Fleet Management System & equipment files in network drive
  • Order coffee / supplies bi-weekly
  • Assist with maintaining lunchroom cleanliness
  • Back-up coverage for Poplar Creek Administrator
  • Other duties as required by management

QUALIFICATIONS/SKILLS

  • High school diploma, or an acceptable combination of education and experience
  • Strong organizational and communication skills
  • Skilled in the use of MS Office (Word, Excel, Outlook, PowerPoint) and internet-based programs
  • Basic knowledge of accounting practices preferred
  • General understanding of mechanical/technical terms considered an asset
