SOFWERX (SWX) was established under a Partnership Intermediary Agreement (PIA) between the United States Special Operations Command (USSOCOM) and DEFENSEWERX (DWX), the parent organization of SWX. SWX is a platform designed and operated to increase collaboration and innovation, as well as explore, experiment, and assess promising technology for USSOCOM. Its expanding ecosystem brings together traditional and non-traditional problem solvers to identify, develop, and deliver innovative, disruptive capabilities that provide decisive advantages to the Special Operations Forces (SOF) Warfighter. POSITION SUMMARY:

The Contract Administrator serves as a key member of the SWX business operations team and is responsible for the full lifecycle administration of contracts, agreements, and Collaborative Project Orders (CPOs). In coordination with SWX leadership and DWX Corporate policies, this position ensures contractual compliance, mitigates organizational risk, supports proposal development activities, and maintains accurate contractual and project documentation in support of SOFWERX objectives. The Contract Administrator works closely with SWX leadership, program managers, accounts payable, government stakeholders, and vendors to ensure projects are executed in accordance with organizational policies and compliance, regulatory requirements, and funding agreements while maintaining accurate financial and contractual documentation. The position is based in Tampa, Florida and reports directly to the SWX Office Manager.



ESSENTIAL FUNCTIONS:

Contract and Agreement Administration

  • Draft, review, process, and maintain contracts, Non-Disclosure Agreements (NDAs), Research and Development Agreements (RDAs), consulting agreements, service agreements, and other business instruments in alignment with organizational standards, policies, and compliance areas.
  • Ensure contractual documents are accurate, complete, and compliant with applicable regulations and organizational requirements.
  • Monitor contract performance and assist in ensuring contractual milestones, deliverables, and obligations are met.
  • Collaborate with SWX & USSOCOM Project Managers, and external partners to resolve contract administration issues and support contract execution.
  • Support negotiations, modifications, renewals, and closeout activities as required.
  • Conduct contract-related research and proactively provide concerns or recommendations to SWX leadership regarding contractual and regulatory matters.

Compliance and Regulatory Oversight

  • Ensure compliance with federal, state, organizational, and contractual requirements, working with appropriate stakeholders.
  • Maintain documentation required for audits, reporting requirements, and funding agencies throughout the agreement lifecycle.
  • Support organizational efforts related to risk mitigation, internal controls, and audit readiness with guidance from SWX leadership.
  • Assist with the development and maintenance of internal policies, procedures, and business practices.

Proposal and Project Support

  • Support the development of cost proposals, technical proposals, project budgets, and supporting documentation for government and commercial opportunities.
  • Support project initiation, contract implementation, and project execution activities, including providing administrative and contractual support during negotiations when required.
  • Develop recurring and ad hoc contractual, financial, and operational reports, including quarterly and annual project performance inputs, to support leadership decision-making and organizational reporting requirements.

Organizational Support

  • Provide direct support to Office Manager priorities and special projects.
  • Collaborate with SWX teams to improve processes, strengthen compliance, and enhance operational efficiency.
  • Support cross-functional initiatives that contribute to the successful execution of SWX and DWX objectives.
  • Perform other duties as assigned in support of SWX requirements.

QUALIFICATIONS:

Required:

  • Minimum of three (3) years of experience in contract administration, grants administration, procurement, project administration, accounting, legal support, or related business operations.
  • Proficient in Microsoft Office Suite, Adobe Acrobat, and ability to create professional correspondence and proposals.
  • Experience preparing reports, contracts, budgets, and appropriate documentation.


Preferred:

  • Associate’s degree in business administration, law, or a related field or a combination of education and experience.
  • Working knowledge of ERP and project accounting systems; Deltek Costpoint preferred.
  • Government contracting experience or experience supporting Department of War (DoW), defense, nonprofit, or federally funded programs.
  • Ability to learn and utilize contract and financial management systems.
  • Strong analytical, negotiation, and problem-solving abilities with exceptional attention to detail, organizational skills, and contract administration proficiency.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Team player with well-developed interpersonal and communication skills with the ability to multitask.

OTHER KEY REQUIREMENTS:

  • Ability to pass a background check
  • Ability to successfully obtain and maintain a U.S. Government security clearance or successfully obtain and maintain ITAR license
  • Must not have any conflicts of interest affecting DWX or its partners
  • Strong problem-solving skills and attention to detail
