Position Summary

We are seeking a Program Assistant to join our team, working collaboratively to enhance the delivery of employment services and support clients in achieving their career and training goals.


The Program Assistant provides day-to-day administrative support to the Employment Division, including but not limited to filing, maintaining records, preparing reports, coordinating schedules, creating newsletters, and entering data.


This is a Summer Student position with an End Date of September 30th, 2026.


What you'll do

  • Assist existing staff with administrative duties, including organization and maintaining filing systems (both electronic and paper-based), ensuring records are accurate, up to date, and easily accessible.
  • Support the preparation of reports by entering data, compiling information from various sources, and assisting with formatting and proofreading to ensure accuracy and consistency.
  • Provide reception coverage as needed, including answering phone calls, responding to general inquiries, and warmly welcoming guests, clients, and community members into office and service areas.
  • Sort and distribute files, mail, and courier deliveries, ensuring timely handling and proper routing to the appropriate staff or departments.
  • Assist with maintaining and updating departmental databases, ensuring information is entered accurately and kept current to support reporting and service delivery.
  • Utilize Microsoft Office tools (Word, Excel, Outlook, etc.) to create and edit documents, update spreadsheets, and draft memos, newsletters, and communications for clients and the community.
  • Support the organization, cleanliness, and safety of the workplace, helping to maintain a welcoming and professional environment for staff and visitors.
  • Maintain office and supply inventory, including monitoring stock levels, conducting routine inventory checks, and notifying appropriate staff when reordering is required.

What you Bring


Qualifications

  • Proficient computer skills including Microsoft Office Applications (Word, Excel, Internet, and Email.)
  • Good verbal and written communication skills.
  • Ability to adhere to Oath of Confidentiality and Seabird Island Band Policies and Procedures.
  • Knowledge, respect and understanding of Stó꞉lō culture, traditions and language is considered an asset.
  • Experience working with First Nations community is considered an asset.
  • Excellent writing, editing, and verbal communication skills.

Working / Special Conditions

  • Initial and ongoing employment is subject to submission of a clear Criminal Record Check to ensure the safety and trust of the communities we serve. This check will be conducted every five years.
