Key Responsibilities

  • Serve as the central point of contact at our reception, managing visitors and incoming calls
  • Ensure a professional and welcoming environment for guests, including the preparation of meeting rooms, catering arrangements, and the upkeep of the kitchen and beverage supplies
  • Support the smooth running of the office by handling mail and deliveries, monitoring and procuring office and kitchen supplies, and maintaining filing and records
  • Coordinate external service providers (e.g. cleaning, repairs and transport)
  • Manage organizational processes, including company car management and the visitor calendar
  • Provide administrative support to the team and management as well as assist with travel arrangements


Basic Qualification

  • Completed commercial training (kaufmännische Ausbildung) or a comparable qualification
  • Initial professional experience in office management, reception or a team-assistant role is an advantage
  • Well-organised, reliable and hands-on, with a strong service orientation
  • Friendly and professional manner when dealing with visitors and colleagues
  • Ability to manage several tasks at once and to set priorities independently
  • Confident handling of MS Office (Outlook, Word, Excel)
  • Discretion when handling confidential information
  • Valid driver’s license (category B)
  • Very good German and good English language skills
