Role: The PMO Secretary/Admin; assisting the PMO Director/Manager in running the project office:

Job role:


Meetings & discussions


- Organise (schedule/coordinate/run) meetings


- Prepare (standardise/edit/review) meeting material


- Record/edit/review meeting minutes


- Track follow-up action items


Project


- Workspace (electronic systems) administration


- Documents/information upkeep (filing and update)


- Key Performance Indicators (KPI) tracking


- Purchasing/billing initiation


Communication


- Project communities (internal track leaders, external clients/partners)


- Email/instant messaging group administration


- Project team members on/off-boarding administration


- Assist the Project Managers in major project activities organisation & execution


- Assist in other project activities/work as and when required


Qualifications/requirements:


- Experience: 1-5 years


- Some working experience/exposure in similar positions and/or project activities


- Good command of English (at least written)


- Good communication skills


- Organised and detail in nature


- Efficient and effective in coordination/tracking


- Proficient in MS Office suite of products


- Familiar with electronic collaboration workspace and workflow systems


- Advantage to have some working experience in the IT/education/training industry
