We are looking for a dedicated Vendor Operations Specialist to join our team in Warsaw. Your primary purpose will be overseeing the complete daily order fulfillment process across AUTODOC's network of warehouses. You will be responsible for ensuring timely and accurate delivery to AUTODOC’s fulfillment centers, which involves proactive problem-solving for any disruptions in the fulfillment chain and implementing strategies to maintain optimal flow. This role also requires actively managing relationships with external vendors involved in warehouse operations and logistics, ensuring their performance consistently meets or exceeds AUTODOC's operational requirements, quality standards, and agreed-upon service level agreements (SLAs).
Key Responsibilities:
- Order Fulfillment: Conduct daily order fulfillment monitoring.
- Vendor Management: Serve as the primary point of contact for external vendors.
- Performance & KPI Tracking: Establish key performance indicators (KPIs) to monitor the performance of external vendors and internal fulfillment processes. Regularly track metrics, analyze trends, identify areas of underperformance, and drive comprehensive improvement actions.
- Cross-Functional Collaboration: Work cross-functionally and facilitate seamless communication with procurement, finance, operations, customer service, and IT teams to support smooth order flow and unified problem-solving.
- Administration & Onboarding: Maintain accurate and up-to-date vendor records in the system. Coordinate the onboarding of vendors, ensuring strict compliance with company policies.
- Process Optimization: Support continuous improvement initiatives for vendor operations processes and tools. Develop and implement improvements aimed at maximizing efficiency, reducing costs, enhancing accuracy, and maintaining consistently high-quality standards throughout the supply chain.
Qualifications
- Bachelor’s degree in supply chain operations, Business or a related field.
- 2+ years of experience in supply chain coordination, vendor management or procurement operations.
- Proficiency in the Microsoft Office Suite.
- Excellent organizational and problem-solving skills with strong attention to details.
- Effective communicator with the ability to successfully manage relationships with internal stakeholders and external vendors.
- Comfortable working in a fast-paced, dynamic environment.
- English proficiency, alongside knowledge of the Russian, German, or Polish language.
Preferred Qualifications:
- Experience in the e-commerce sector is considered an advantage.
